How to Link Zoom and Chatwork to Automatically Notify Recording Information When a Meeting Ends

Benefits of Integrating Chatwork and Zoom and Examples of Automation

In recent years, with the spread of telework and remote work, the efficiency of meetings has been increasingly highlighted.
By integrating Zoom and Chatwork, you can automatically notify and share meeting content. This article introduces an easy way to implement this without any coding.

Significantly reducing time and effort allows for smooth communication.

(1)Centralized Management of Information by Sharing Meeting Content

Automatically post meeting recordings and minutes to Chatwork.
Once a Zoom meeting ends, the recording and minutes are automatically uploaded to the Chatwork project room, ensuring everyone can check them and preventing any missed information sharing.

(2) Quick Meeting Summons with Automatic Meeting Scheduling

Automatically set up Zoom meetings by picking up specific keywords in Chatwork! For example, when a chat message containing the keyword "meeting" is posted, a Zoom meeting link is automatically generated and notified to participants.

(3) Strengthening Remote Work with Automatic Task Assignment
Automatically add tasks discussed during meetings to Chatwork's task management feature. Tasks decided in Zoom meetings are automatically added to Chatwork's task list after the meeting ends, and assignees are set. This allows everyone to immediately know who is responsible, making the timing of starting work smoother!

These require complex programming, but they are achievable.
However, there are challenges such as not having programmers in-house and budgeting for outsourcing costs...

Things to prepare in advance

  • Zoom account (paid)
  • ChatWork account, Room ID (The numeric part after "#!rid" in the URL is the Room ID. Alternatively, in the app, click the gear icon at the top right of the room → click Group Chat Settings → the Room ID will be displayed below.)

[Zoom] Trigger Action: When the Meeting Ends

Click "Edit" at the top right of the copied flow bot. Set up the process in order from the top.

App Trigger Title → When the Meeting Ends
App → Zoom (OAuth) Default
Account Information Linked with Zoom (OAuth) → Set the account obtained with a paid plan
Trigger Action → When the Meeting Ends

(2/2) App Trigger API Settings

Trigger Activation Interval → Choose from intervals of 5, 10, 15, 30, or 60 minutes. *The available intervals may vary depending on your plan.
Email Address → Enter the email address linked to the target Zoom account
Click the Test Button → Success
The "Meeting ID" is included in the output content. This will be used in later operations.

Next is the Zoom settings.

[Zoom] App Integration: Retrieve Meeting Recording Information

Here, set up the flow to retrieve the recorded content from Zoom meetings. This flow targets recordings uploaded to the cloud.
*Please note that information cannot be retrieved if set to download locally.

User's Email Address → Set the same email address as before
Meeting ID → Click the blank space and select "Meeting ID" from the "When the Meeting Ends" section.
Click the Test Button! → Success

The output here will be the content notified to Chatwork.

[Chatwork] App Integration: Send a Message

Set up the configuration to automatically forward the information obtained from Zoom to Chatwork.

Account Information Linked with Chatwork → Set your own account
Action → Send a Message

(2/2) API Connection Settings

Room ID → Paste the ID obtained in advance
Message Content → By default, the Zoom meeting information obtained earlier is included. Click the edit frame to pop up options, allowing customization.
Click Test → Success!
Click Save → Return to the top of the flow bot and turn the app trigger [ON] to complete the setup!

After the meeting ends on Zoom, obtain the recording content. Download the meeting recording file, and AI will transcribe the audio data. Then, it can be stored and saved in Notion! How revolutionary!

When you select any record from the database, a request for scheduling will be sent to the respective person in charge. Once the schedule is confirmed, a meeting will be set up using the linked Zoom account, and a notification will be sent to Slack.

For those who find it a bit daunting to customize right away, try rearranging the base template to suit your tasks.

How was it? This time, we introduced a simple no-code implementation method focusing on what can be done by integrating Zoom and Chatwork.
Creating minutes is one skill. However, when meetings overlap or other tasks become complicated, editing minutes can become quite a burden. If transcription is done automatically or recorded content is notified via Chatwork, the priority of creating minutes in a hurry might decrease.
