Notify Microsoft Teams with the recording URL after a Zoom meeting ends

By utilizing this flow, you can seamlessly share recordings with the entire team without any omissions.

Let's Create a Flow to Integrate Zoom and Microsoft Teams

Now, let's create a flow that integrates Zoom and Microsoft Teams!
We will use Yoom to proceed with the integration of Zoom and Microsoft Teams without any coding. If you do not have a Yoom account yet, please create one using this registration form.

[What is Yoom]

This time, we will create a flow bot that notifies Microsoft Teams with participant information once a Zoom webinar ends!

The creation process is broadly divided into the following steps.

  • Integrate Zoom and Microsoft Teams with My Apps
  • Copy the template
  • Set the Zoom trigger and Microsoft Teams action
  • Set the trigger to ON and complete the preparation for flow operation

Step 1: Integration of My Apps with Zoom and Microsoft Teams

1. How to Register Zoom

Click on "My Apps" in the left column and then click "Add".
A search window will appear, so please search for Zoom.

After entering the Client ID and Client secret, click "Add".
※Reference: For detailed setup instructions, please check How to Register My Apps for Zoom (OAuth).
※Note: The above integration method is within the scope of Zoom's Admin-managed permissions. If you want to integrate within the scope of User-managed permissions, please refer to here.

This completes the integration of My Apps with Zoom!

2. How to Register Microsoft Teams

Return to the My Apps screen and press "New Connection", then enter Microsoft Teams.

The following screen will appear, so if you have a Microsoft Teams account, please log in.
※Note: Microsoft 365 has both personal and business plans, and if you are not subscribed to a business plan, authentication may fail.

This completes the integration of My Apps with Microsoft Teams!

‍Step 2: Copy the Template

From here, we will explain how to create the flow.
Please copy the template we will use this time from the "Try this template" banner below.

When the template Yoom is copied to the management screen, the following screen will be displayed.
Click "OK" to start setting it up!

Step 3: Setting the Trigger to Activate When a Zoom Meeting Ends

First, click on the Zoom icon that says "When meeting ends".

Once you have confirmed that there are no errors in the required fields on the displayed screen, click "Next".

Next, set how many minutes later the trigger will activate.
You can select the trigger interval from the dropdown menu with options of 5 minutes/10 minutes/15 minutes/30 minutes/60 minutes.
Note: The shortest interval varies depending on the plan, so please be careful.
Reference: For detailed explanations of Yoom's plans, please check here.

Enter the email address used with your Zoom account.

Once you have set this up, switch to the Zoom screen and start and end a test meeting.
(Please add some participants to the meeting for the test that follows!)

Now, return to the Yoom screen and click the "Test" button.
If the test is successful, you can retrieve values.
The retrieved values can be utilized in the subsequent settings!
Click "Save" to complete the app trigger.
Reference: For more information about retrieved value, please check here.

Step 4: Retrieve the List of Zoom Webinar Registrants

Next, click on the Zoom icon that says "Get list of webinar registrants" and set it up.

Once you have confirmed that there are no errors in the required fields on the displayed screen, click "Next".

Enter the user email address by referring to the explanation below the input field.
For the webinar ID, select "Meeting ID" from the retrieved value displayed when you click the input field.

Once the setup is complete, run the test and click "Save".

Step 5: Generate Text Using AI

Next, let's set up the "Generate Text" item.

Clicking on the action allows you to select the number of characters for the text to be generated.
Once set, click "Next"!

The prompt can be set freely, but in this example, it is set as shown in the screen below.
By setting it this way, when a Zoom webinar ends, you can automatically retrieve the "list of last names", "list of first names", and "list of email addresses" of participants and generate text in the format "Last Name First Name: Address"!
Try setting it according to your needs.

Once the setup is complete, run the test and press "Save".

Step 6: Send a Message to a Microsoft Teams Channel

Finally, let's set up the Microsoft Teams icon item "Send message to channel".

Once you have confirmed that there are no errors in the required fields on the displayed screen, click "Next".

For the team ID and channel ID, click inside the box and select from the "candidates" that appear.

The message can be set freely.
By setting it as shown in the screen below, when a Zoom webinar ends, you can automatically retrieve the Zoom "topic" and the previously generated "result" and notify Microsoft Teams!
Similarly, you can set it to automatically retrieve information such as the Zoom "meeting ID" or "number of participants", so try setting it according to your needs.

Once the setup is complete, conduct a test and click "Save".

Step 7: Turn on the Trigger

Click the "Turn on Trigger" button on the screen below to automatically start the flow bot.
Check whether the flow bot starts correctly.

This completes the setup of the flow "Notify participant information to Microsoft Teams when a Zoom webinar ends"!
