This time, we will set up a flowbot that "creates a Zoom meeting and sends meeting information via Outlook when a lead is registered in Airtable"!
By copying and using the template below, you can automate the process by simply setting up the necessary parts.
When you click, an image like the one below will appear, so press OK.
When the following screen is displayed, please check the "Title" and "Description".
If changes are necessary, you can click on the relevant part to make changes.
To first set up Airtable, click "When a record is registered".
Once clicked, proceed with the following settings.
・"Title" → Can be changed as needed
・"Account information to link with Airtable" → Check if the account is correct
・"Trigger action" → When a record is registered
Let's also set up the Airtable base to be used.
This time, we set up the items as follows.
【Point】
・"Created Time" is required when setting the trigger, so be sure to set this item.
・When setting up a Zoom meeting, set "Date", "Start Time", and "Meeting Duration" in the following formats.
Date → 2024-11-11
Start Time → 13:00
Meeting Duration → 90
You will need the Airtable URL when setting up Yoom, so please keep this screen open!
Return to Yoom and proceed with the settings.
Read the following setup method and scroll to proceed.
Set up to activate the flow.
・Trigger activation time: Please set it.
・Base ID: Obtain and set from the Airtable URL
・Table ID: Obtain and set from the Airtable URL
・Field name for Created Time: Display the pull-down next to the "Created Time" item set in Airtable to get the details screen, then obtain and set from there
Once all settings are complete, click "Test".
When the test is successful, a screen like the one below will appear, and you will add the items obtained in the test to the output.
Click "+ Add value to obtain" in the "Output" section.
Then a screen like the one below will appear, and you will add the necessary items for future settings to the output.
Click the "+" next to the item name to add it to the right side of the screen.
Once all necessary items are added, press the "Add" button at the bottom right to complete.
Once you press complete, you will return to the original screen.
Check the output section, and the items you added earlier will be displayed, so press "Save" to complete.

Let's set up each action.
First, set up Zoom's "Create Meeting".
When you click the action, a screen like the one below will appear, so please check the settings.
・"Title" → Can be changed as needed
・"Account information to link with Zoom" → Check if the account is correct
・"Action" → Create Meeting
Proceed with the screen to set the details.
・Email Address: The email address of the account creating the meeting
・Topic: Set as desired. You can also set using output as shown in the image.
・Date: Set output
・Start Time: Set output
・Meeting Duration: Set output
Click "Test", and if successful, click "Save" to complete.
Next, set up Outlook's "Send Email".
When you click the action, a screen like the one below will appear, so please check the settings.
・"Title" → Can be changed as needed
・"Account information to link with Outlook" → Check if the account is correct
Scroll to proceed with the screen and set the "Email Content".
Set the standard content and use output for the variable parts.
Click Next to check the content of the email that will actually be sent.
In reality, the output will be displayed as text, and an email like the one below will be sent!
Click "Test", and if successful, click "Save" to complete.
Finally, set up Airtable's "Update Record".
When you click the action, a screen like the one below will appear, so please check the settings.
・"Title" → Can be changed as needed
・"Account information to link with Airtable" → Check if the account is correct
・"Action" → Update Record
Click "Next" to proceed.
Read the notes and scroll to proceed.
Enter the same "Base ID" and "Table ID" as set in the trigger here.
Additionally, "Record ID" is required, so enter the output of "Record ID" obtained in the "Register Record" trigger.
Proceed further to set the "Field Information".
Since we created columns in Airtable where we can add the Meeting ID and invitation link, we will add values there.
・Field Name: Display the pull-down next to each item name of "Meeting ID" and "Invitation Link" set in Airtable to get the details screen, then obtain and set from there
・Value: Add the output for each "Meeting ID" and "Invitation Link"
Finally, execute "Test" and click "Save" to complete.
Finally, click "Turn on Trigger" to complete the automation setup.
Make sure the flow bot is activated correctly.
