How to update a Notion database when a contract is completed in CloudSign by integrating CloudSign with Notion.
n.watanabe
Are you considering what to do next after a contract is concluded with CloudSign? Getting a signature on the contract is not the goal; it's merely the start. Once the contract is established, the first thing you should do is manage the contract information properly. This is where Notion comes in handy. Notion is very useful for project progress management and information organization. For example, once a contract is concluded with CloudSign, by adding the progress status to Notion's database, you can access the necessary information immediately by just opening Notion without having to open CloudSign. Additionally, by utilizing the task management function, you can list action items based on the contract, allowing multiple people to grasp the progress status at a glance. This leads to improved work efficiency and increased productivity for the entire team. So, what are the benefits of integrating these two apps?
Benefits of Integrating CloudSign and Notion
Benefit 1: Real-time Tracking of Contract Status
By integrating CloudSign and Notion, the status is updated as soon as a contract is concluded, allowing all stakeholders to access the latest information. This enables real-time tracking of contract fulfillment progress, allowing for immediate adjustments and responses. Furthermore, since the contract status is always managed in its latest state, misunderstandings or discrepancies in information among contractors can be prevented, enhancing the overall transparency of the project. As a result, efficient project management becomes possible.
Benefit 2: Smooth Project Management
By integrating CloudSign and Notion, you can centrally manage contractor information and project progress, enabling a smooth construction of the overall workflow. Since contract details are automatically reflected in Notion, you can create follow-up plans directly linked to project tasks and schedules. This allows for efficient task allocation and progress tracking. Moreover, centralized information management makes sharing within the team easier, reducing communication discrepancies. This increases the success rate of projects and strengthens relationships with clients and team members.

How to Create a CloudSign and Notion Integration Flow
We have introduced the benefits so far. Now, let's quickly integrate the two apps using Yoom! This time, we will explain how to create a flow bot that "updates the Notion database once the contract is concluded with CloudSign."
Step 1: My App Integration
First, connect the CloudSign and Yoom you are using. Select My App → New Connection → CloudSign from the left side of the Yoom page. Search for the app from the list or by app name. The following screen will appear, so please refer to here to set the account name and client ID.
Next, connect Notion. When the following screen appears, log in with your email address and password.
Once logged in,
Select a page
Check the page you want to access
Grant access
Please do so. This completes the integration with Notion. It's OK if both apps are displayed in My App.
Step 2: Set the Trigger
This time, we will use the provided template. When you open the template page, the following screen will appear, so click on Try this template. If you are using Yoom, log in; if you are new, register as a member. Proceed as is, and the template will be copied to your workspace and ready to use. You can rename the template if necessary. Click on My Projects on the left, and you will find the template you just copied. Click on the ellipsis (...) on the right side of the template and select Edit.
Now, let's set the app trigger. Select "When the document signing is completed".
On the "Select Linked Account and Action" screen, check the linked account. The trigger action is fine as it is. If there are no mistakes, proceed to the next step. Please also check the linked account on the next screen. Trigger activation interval → You can choose from intervals of 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes. *The selectable activation intervals vary depending on the plan.
Test → Save when the test is successful.
Step 3: Set the Action
Next, set "Get the name of the contracting party".
Check the linked account here as well. The trigger action is fine as it is. If there are no mistakes, proceed to the next step. Select the document ID from the output as {{Document ID}}. Test and save if there are no issues.
Finally, set "Update the record".
Set the database ID you want to use. *The "●●●" part in "notion.so/[domain name]/●●●?" or "notion.so/●●●?" in the URL is the database ID. Once set, proceed to the next step. This time, we want to update the record (progress status) when the name of the contracting party matches in both CloudSign and the Notion database, so set the conditions as follows. The value of the updated record only needs to update the progress status, so I entered "Completed" in the progress status. Do not enter anything in the name field. (Entering something will change the name of the contractor.) Test → Save when the test is successful.
Finally, turn on the app trigger to complete. Thank you for your hard work!
Advanced Integration Flow of CloudSign and Notion
This time, we introduced a "flow bot that updates the Notion database once the contract is completed in CloudSign." It's a hassle to confirm contract completion in CloudSign and then update the status in Notion, isn't it? This flow is recommended for those who need to follow up after contract completion. At Yoom, we also offer other templates using CloudSign and Notion. Please try them out from the links below.
"Obtain a Certificate of Agreement Completion and send it via Gmail once the document signing is completed in CloudSign." ・Once the contract is signed in CloudSign ・Obtain a Certificate of Agreement Completion in CloudSign ・Send it via Gmail. These are the steps involved.
Issuing a Certificate of Agreement Completion simultaneously with document signing helps prevent issues in electronic contracts. The part where you send it via Gmail can be changed to your email software, so feel free to customize it according to your needs and usage.
Summary
By integrating CloudSign with Notion, you can now track contract statuses in real-time. Automation dramatically simplifies project management. With Yoom, you can easily set up integrations without any coding, making it accessible for anyone to start. Additionally, by using the templates introduced in the advanced section, you can create automation flows that better suit your business needs and maximize operational efficiency. This resolves issues like missing important contracts and reduced work efficiency, enhancing the overall performance of the team.
I have been an SEO writer for 5 years and have continued to write under the motto “easy to read” and “easy to convey.”
I want to bring the convenience of Yoom, which can be linked to apps without programming knowledge, to many people!
Conventional RPA can only automate simple repetitive tasks, and the setup process was very complicated. With “hyperautomation,” which combines various technologies such as AI, API, RPA, and OCR, it is possible to automate many tasks that could not be realized until now more easily than before.
Most tools simply connect one app to another, leaving the complex tasks to you. Yoom goes much further: From document creation and browser automation to OCR and generative AI, Yoom handles it all seamlessly in one platform.
Why settle for basic integrations? Streamline your entire workflow with Yoom’s powerful hyperautomation.
