Even though you use Google Chat and Asana in your daily work, have you ever felt that "it's a hassle to register the content shared in messages to Asana later"?
This kind of task might be one of the reasons for decreased work efficiency.
That's where integrating Google Chat and Asana with Yoom comes in handy!
With Yoom, you can automatically register the content posted in Google Chat directly as tasks in Asana.
This system can help streamline task management while preventing transcription errors and registration mistakes.
Moreover, since task details and background information are accurately reflected, it should create an environment where the entire team can proceed with work based on the necessary information.
In this article, we will introduce how to make your workflow more comfortable by utilizing Yoom.
This article introduces the integration method using the no-code tool "Yoom".
No complicated settings or operations are required, and even non-engineers can easily achieve it.
You can start right away using the template below, so please give it a try!
[What is Yoom]
From here, we will proceed with the flow settings using Yoom.
This time, we will create a flow bot that "adds content posted on Google Chat to Asana".
The general flow of the settings is as follows.
No difficult settings requiring programming knowledge are needed.
In this flow, we will use AI operations (data extraction).
For instructions on setting up "Data Extraction (2 Tasks)" using AI, please also check this page.
First, let's integrate Yoom with the apps you use.
After logging into Yoom, click "+ Add" from "My Apps" in the left menu.

When the "New App Connection" window appears, search for each app.

Admin privileges on Google Cloud Platform are required for Google Chat My App integration.
After logging into Google Cloud Platform, create a new project and enter the project name, etc.
Once the project is created, select "API and Services > Library" from the left menu.
API Library to search for Google Chat.
When you find the Google Chat API, click "Enable" to configure the settings.
For detailed configuration settings, please refer to the link below.
How to Register My App for Google Chat (OAuth)
Search for Asana from the new app connection, and you will be prompted to sign in.
Continue signing in and click "Next" to log in.
Once logged in, you will be asked to confirm granting permissions to Yoom, so click "Allow".
Once allowed, the integration with Yoom is complete.
Make sure Google Chat and Asana are displayed in the My Apps list.
Now the preparation is complete.
Copy the template from the banner below and start the setup.
Once copied, please modify the template title to something easy to understand.

First, set up Google Chat with "When a message is sent to space".
On the first page, the Google Chat account information linked with My App is reflected.

The title can be changed, so please proceed to the next step after making any necessary changes.
On the next page, set the trigger interval.

The trigger interval can be selected from 5 to 60 minutes, but please note that the selectable time varies depending on the plan.
Once input is complete, send a test message in Google Chat and click "Test".
If the test is successful, values will be reflected in the "Output" section.

In practice, specific values such as the message content sent in the test and creation date are reflected next to each item in the image above.
Once confirmed, click "Save".
This output is obtained each time a message is sent in Google Chat, and the values change accordingly.
Let's proceed to the next setting to notify Asana of these dynamic values.

Next, "Extract data from text".

First, set up the action.
On this screen, only the title can be modified, so proceed to the next step as is.
On the next screen, configure the settings for data extraction.

Basically, the text to be extracted is only the message content from Google Chat, so select it from the output.

Once the settings are complete, click "Test" to verify if the message content from Google Chat can be read correctly.

If the test is successful and a summary of the message content is obtained next to the output "Task Name", the data extraction setup is complete by clicking "Save".

The final setup is "Add Task".

On the first page, verify account information and modify the title as with Google Chat, then proceed.

Next, configure the details of the task to be added.
Each item reflects the output.
Task Name: Output obtained in the "Extract Data" flow (summarized task name)
Task Description: Message content sent to Google Chat
After selecting the Project ID and Section ID, click "Test" to check for errors.
If the test is successful, click "Save" to complete all settings.
Finally, turn on the trigger to activate the flow.

Now, tasks are automatically added to Asana from messages posted in Google Chat.
In addition to the flow introduced this time, you can achieve various business automations by using the APIs of Google Chat and Asana.
All of them can be used with simple settings, so if you find something interesting, please give it a try!
