Automatically Send WordPress Data via Email

This flow allows you to automatically send emails triggered by posts or updates in WordPress. It helps prevent missed notifications and improves efficiency by sending notifications automatically without having to open WordPress.

Let's Create a Flow to Automatically Notify WordPress Data

Let's get started with creating a flow to automatically notify WordPress data! This time, we'll proceed with the setup using Yoom, a no-code platform. If you don't have a Yoom account yet, please create one using this registration form.

[What is Yoom]

This time, we will create a flow bot that notifies Microsoft Teams when a comment is added in WordPress!
The creation process is broadly divided into the following steps:

  • Integrate WordPress and Microsoft Teams with My Apps
  • Copy the template
  • Set up the WordPress trigger and Microsoft Teams action
  • Turn on the trigger and complete the flow activation preparation

Step 1: Integrating WordPress and Microsoft Teams with My Apps

1. How to Register WordPress

After logging into Yoom, click on My Apps, then click on ”+ Add”, and search for WordPress.

The new WordPress registration screen will appear, so please read the notes carefully and enter "Account Name", "Domain", "Username", and "Password".
Once entered, press the Add button.

This completes the integration of WordPress with My Apps.

2. How to Register Microsoft Teams
Similarly, click on "+ Add" and search for Microsoft Teams.

The Microsoft Teams login page will appear, so enter your email address or phone number and click "Next".

After entering your password, click Sign In.

This completes the integration of Microsoft Teams with My Apps!

Note: Microsoft 365 (formerly Office 365) has personal and business plans (Microsoft 365 Business). If you do not have a business plan, authentication from Yoom may not work properly, so please be careful.

‍Step 2: Copying the Template

From here, we will start creating the flow!
By using Yoom's templates, you can easily automate your tasks.
First, open the template page below and click 'Try it'.

Once the template has been copied, please click "OK".

Step 3: Setting up a trigger to activate when a comment is posted on WordPress

First, click on the "When a comment is posted" item in the WordPress icon to set it up!

The screen below is set by default.
If there are no issues with the settings, click "Next" to proceed.

You can choose the trigger activation timing from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
It is generally recommended to use the shortest activation interval for your plan!
Note: Depending on the plan content, the shortest interval for setting a trigger may vary, so please be aware of this.

Once the activation interval is set, switch to the WordPress screen and add a comment for testing. (The content of the comment is free!)

After adding the comment, return to the Yoom screen and press the test button.
If the test is successful, the output will be obtained.
Once you have confirmed the output, press the "Save" button!
Reference: For more about the output, please check here.

Step 4: Send a message to a channel in Microsoft Teams

Next, let's set up the "Send message to a channel" item in the Microsoft Teams icon.

The screen below is already set.
If there are no issues with the settings, proceed to the next page!

Click inside the box to display the options for the team ID, and select the desired ID to use.

Set the channel ID in the same way.

You can set the message freely.
For example, if you set it as shown in the screen below, when a comment is added in WordPress, the "Comment ID" and "Comment Content" will be automatically retrieved and automatically notified to the Microsoft Teams you set earlier!
Try changing the output or message content to suit your needs.

Once the settings are complete, click the test button.
If the test is successful, a notification will be sent to Microsoft Teams, and if there are no issues, click "Save".

Step 5: Turn on the trigger

Finally, click "Turn on the trigger".
This completes the flow of "Notify Microsoft Teams when a comment is added in WordPress"!
Let's check the operation of the flow immediately.

Other automation examples using WordPress

You can automatically notify Gmail or Slack of WordPress posts or comments, or automatically register them in SPIRAL or Google Sheets.
Additionally, it is possible to automatically post information from Google Forms to WordPress!

In Conclusion

We introduced how to automatically send, notify, and forward WordPress data to chat tools and email tools using the no-code tool Yoom!
Not only can you notify about the publication of new articles, but you can also automatically send new comments to chat tools and email tools, potentially allowing for faster sharing and understanding compared to when it was done manually!
