Jira Software has advanced customization features, making it a powerful tool for complex software development. On the other hand, Trello is a simple task management tool that is easy to use with its intuitive interface, making it ideal for individuals. It can be used not only to streamline project management within teams but also for managing personal tasks in a project you are involved in. With this in mind, I thought that integrating Jira Software and Trello could help improve the efficiency of managing personal tasks in software development. In this article, I will introduce an easy way to integrate the two tools that anyone can implement!

  • Those managing projects with Jira Software and Trello.
  • Those looking to improve business efficiency using Jira Software and Trello.
  • Those who want to centralize task information by integrating Jira Software and Trello.

For those who want to get started immediately:

In this article, I will introduce how to integrate Jira Software and Trello using the no-code tool "Yoom." No complex settings or operations are required, and even non-engineers can easily implement it. You can get started right away using the template below, so feel free to give it a try!

[What is Yoom]

How to Integrate Jira Software and Trello Using API

Now, let's create a flow bot that "adds an issue to Jira Software when a card is created in Trello."

Using the domestic no-code tool Yoom, even those without programming knowledge can easily automate flows!

If you don't have a Yoom account yet, please issue one from this registration form.

Here is the official documentation about Yoom. Please take a look.

This time, instead of creating a flow bot from scratch, we will use a template with a pre-built flow.
Yoom offers various templates, allowing you to create the desired flow bot in no time without coding!

Once you have completed the Yoom registration, please click the banner below to proceed.

1. Hover over the banner and click "View Details"
2. Click "Try This Template" on the page you navigated to
3. Register for Yoom
* If you have already registered, the login screen will be displayed, so please log in.

My App Integration with Jira Software and Trello

Press "Use This Template" at the bottom of the banner screen above, and you will be taken to a screen called My Projects. Click My Apps from the menu on the left.
   ↓
Press Create New in the upper right and enter "Jira Software". The Jira Software icon will appear, so click it and press Create New in the upper right.

__wf_reserved_inherit

Enter your account name and access token.
There is a page that explains this in detail from here, so please refer to it!

How to Register My App for Jira Software

Once the access token has been successfully converted, please press Add.

Next, we will proceed to the My App integration for Trello!
Just like before, enter "Trello" in the search window and click the Trello icon!
   ↓

__wf_reserved_inherit

A separate page is also available for My App registration regarding Trello.
It's easy to understand, so please take a look!

How to Register My App for Trello

Now that the two apps are linked with Yoom, let's move on to creating a Flowbot!

Setting Triggers for Trello

First, since we will be conducting tests while assembling the Flowbot, let's create a card in Trello in advance!
     ↓
Click "[Copy] When a card is created in Trello, add an issue to Jira Software" from My Projects on the left side of the screen! Press Edit in the upper right.
     ↓
Press "When a card is newly created (Webhook)" on the Trello icon.
Since the necessary items are already entered by using the template, click Next as is!
     ↓

__wf_reserved_inherit

Obtain the API key and API token from the URL in the red frame and copy-paste them. The username is listed on the Trello page, so copy-paste this as well.
When you click on the board ID, a list will be displayed, so select the board you want to link with Jira Software.

Press the test button just below, and if "Test Successful" is displayed in blue, proceed to the next step!
     ↓
There is also a test button on the next page, so click it, and "Test Successful" will be displayed in blue as before.
In that state, let's obtain the "Output".

__wf_reserved_inherit

Press "Add Value to Obtain" within the red frame and...

__wf_reserved_inherit

It will be displayed as above, so add the desired output!
The output added here will be reflected in Jira Software
, so keep adding while imagining what kind of content you want to reflect.
Adding is okay by pressing the plus mark! For now, let's add comments as output!
     ↓

__wf_reserved_inherit

When you hover over the added output, a pen mark will appear on the right side. Click to change the item name to any content you like.
As a point, it's much easier later if you change it to an item name linked to the value obtained in the test.
     ↓

__wf_reserved_inherit

It turned out like this.

The item name is set to "Comment" to make it easy to understand. This completes the Trello settings!
Now, let's proceed to the Jira Software settings.

Jira Software Settings

Click "Add Task" on the Jira Software icon.
Since it is already entered as before, press Next.
     ↓
You will move to a screen where you can enter various things, but the subdomain and project key have explanations below each box, so just copy-paste them!
The issue title remains as is, and the issue type ID can be selected by clicking the box to display a list.
     ↓

__wf_reserved_inherit

Finally, decide on the details.

Leave what is already entered as is, and click inside the box to select the "Comment" output obtained earlier!
This way, Trello's comments will be automatically added to Jira Software's tasks. This is convenient...!

Don't forget to press Test and Save. This concludes the creation of the Flowbot!

2. Development teams using Jira Software

・Those who want to manage customer issues and requests registered in Salesforce's ToDo as issues in Jira Software and integrate them into the development process

■Benefits of using this template

Salesforce is a very powerful tool for customer management, but manually adding tasks to Jira Software every time a ToDo object is registered can lead to human errors and information omissions.

By utilizing this flow, necessary information is automatically added to Jira Software when a ToDo object is registered in Salesforce, eliminating the need for manual input by the person in charge, allowing them to focus on more important tasks such as processing ToDos and customer support.
Additionally, it prevents data entry errors and information omissions, enabling accurate and efficient ToDo management.

■Notes

This template allows tasks registered in Zoho CRM to be automatically added to Jira Software, streamlining manual work.
Tasks registered in Zoho CRM are quickly reflected, simplifying task registration and preventing input errors and omissions.

Additionally, by integrating with chat tools, you can immediately grasp tasks added to Jira Software, allowing for efficient task management.

・Project leaders managing tasks with Jira Software

・Those using Jira Software for managing team schedules

2. Those using Google Calendar

・Those visualizing project tasks in Google Calendar

■Benefits of using this template

If you are linking task information registered in a task management tool to Google Calendar, the registration process becomes redundant and cumbersome.
Additionally, if you manually register to Google Calendar, there is a risk of input errors or omissions, which may hinder project progress.

With this flow, when a task is added to Jira Software, the task information and due date can be automatically added to Google Calendar, streamlining the manual registration process.
You can share task due dates with team members in a timely manner, facilitating smooth project management.

Moreover, it helps prevent input errors and omissions, reducing management workload.

■Notes

・Please integrate Yoom with both Jira Software and Google Calendar.

・You can select the trigger interval from 5, 10, 15, 30, or 60 minutes.

・Please note that the shortest trigger interval varies depending on the plan.

1. Companies that use Slack regularly

・Those who use Slack for team communication and want to add tasks directly from message content

2. Companies that manage tasks using Trello

・Those who want to reduce the hassle of manually creating cards

■Benefits of using this template

By using this flow, cards are automatically created in Trello based on Slack notifications.
For those who have been creating cards manually, this reduces the manual effort, thereby improving work efficiency.
By allocating the saved work time to other tasks, productivity can also be expected to improve.

Additionally, automatically adding tasks helps prevent missed tasks.
Simply checking task information in chat may cause it to be buried under other notifications, leading to missed confirmations, but adding it to Trello reduces that risk.

■Notes

・Please connect both Slack and Trello with Yoom.

・You can select the trigger interval from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.

・Please note that the shortest trigger interval varies depending on the plan.

Additionally, since manual transcription is not required, it also helps prevent input errors and registration omissions.

■Notes

・Please integrate both Gmail and Trello with Yoom.

・You can select the trigger interval from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.

・Please note that the shortest trigger interval varies depending on the plan.

3. Transparency of Project Progress
Even if different teams use Jira Software and Trello separately, integrating the apps makes the progress of each team's projects clear at a glance!
By being able to grasp the progress of tasks in real-time without detailed communication, team leaders or project leaders can give instructions more easily, and members can make task requests to each other more smoothly.

Conclusion

By integrating Jira Software and Trello, not only can you manage tasks for the entire project, but also for each team and even individual tasks with ease.
This allows you to immediately recognize how you should proceed with your work, making it not a dream to smoothly carry out projects involving large numbers of people.

After working as a manager at a general store, I began working from home as an SEO writer. Later, I entered into a freelance contract with a marketing startup for about five years. Surrounded by University of Tokyo students, I spent my days learning various business terminologies and how to use SaaS tools. During my time as a store manager, I was often overwhelmed by administrative tasks such as sales and inventory management, personnel management, and ordering, which frequently prevented me from engaging with customers and caused me to miss sales opportunities. Even during my freelance work, I found myself bogged down with repetitive tasks like data entry and often thought, "Can't these monotonous tasks be automated?" Therefore, I strongly resonate with Yoom's vision!
