When managing files with OneDrive and Box, it facilitates smooth data sharing between the tools. By eliminating the need to manually upload files, you can save working time and allocate the freed resources to other tasks.

2. Regularly Backup Files from a Specific OneDrive Folder to Box

This is a recommended flow for those managing files with OneDrive and Box, who want to regularly back up their data to prevent loss due to human error or other issues.

3. Perform OCR on Image Files Uploaded to OneDrive and Save to Box

This flow is recommended for efficiently managing data recorded in image files stored in OneDrive. By utilizing OCR (Optical Character Recognition) technology, you can reduce manual errors and achieve highly accurate data management.

Let's Create a Flow to Integrate OneDrive and Box

Let's get started by creating a flow that integrates OneDrive and Box!

This time, we will proceed with the integration of OneDrive and Box using Yoom in a no-code manner. If you do not have a Yoom account yet, please create one using the registration form.

[What is Yoom]

This time, we will create a flow to "upload files created in OneDrive to Box"!
The creation process is broadly divided into the following steps.

  • Integrate OneDrive and Box with My Apps
  • Copy the template
  • Set the OneDrive trigger and configure each action
  • Turn on the trigger and check the operation

Step 1: Connect OneDrive and Box to My Apps

First, connect OneDrive and Box to My Apps.
After logging into Yoom, click "+ Add" from "My Apps" in the left menu.

[For OneDrive]

1. Search for OneDrive in the search box and select it from the list of app candidates.

2. You will be prompted to sign in with your Microsoft account, so enter the email address of the account you want to connect with Yoom.
3. Enter your password.

This completes the connection of OneDrive to My Apps.
For more information on the registration process and precautions for My Apps in Microsoft 365 services, please also refer to this page!

Note: "Microsoft 365 (formerly Office 365)" has both personal and business plans (Microsoft 365 Business). If you do not have a business plan, authentication from Yoom may not work properly, so please be careful.

[For Box]

1. Search for Box in the search box and select it from the list of app candidates.

2. Log in to the Box account you want to connect with Yoom. Enter your email address and password, then click "Approval".

3. A permission screen for access to Yoom will appear. Check the access permissions and click "Allow access to Box".

This completes the connection of Box to My Apps.

Step 2: Copy the Template

Once the My Apps connection is complete, let's proceed with setting up the flow. Click "Try it" on the banner below to copy the template.

When a template is copied to Yoom, the following screen will appear, so press "OK".

Step 3: Setting the OneDrive Trigger

1. Click "When a file is created or updated in a specific folder" at the top of the template.

2. Select the OneDrive account information you want to link with Yoom and click "Next". If you have already completed the app integration, the information of the linked account will be automatically reflected.

3. Select the trigger activation interval from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes. It is generally recommended to set it to the shortest time!
※ Please note that the shortest trigger activation interval varies depending on the plan.

4. Enter the OneDrive drive ID in the "Drive ID" field.
When you click the input box, a list of drives in the linked account will be displayed as "candidates", so select from the candidates.

5. Enter the name of the folder to be triggered in the "Folder Name" field.
Search for candidates for "Folder Item ID" using the value entered here.
When you click the "Folder ID" field, candidates that match the value entered in the "Folder Name" field will be displayed, so select the appropriate one.

6. After setting, create a file in the specified OneDrive folder for testing.
After creation, return to the Yoom screen and click "Test". If the test is successful, the information of the files in the folder will be extracted in the "Output", so please check the contents.

If there are no issues, click "Save" to complete the settings.

※ About Output
Output refers to the values obtained when executing "Test" during trigger or operation settings.
The obtained output can be used as a value during subsequent operation settings, and it will be a fluctuating value each time the flow bot is activated. For more details, please refer to here.

Step 4: Setting the OneDrive Action

1. Click "Download File" in the template.

2. For "Account information to link with OneDrive", select the same account specified in Step 3.

3. Select the "Drive ID" where the file you want to download is saved from the candidates.

4. Set the "File Item ID" using the output.
When you click the input field, the output will be displayed, so select "Item ID_Trigger" within "When a file is created or updated in a specific folder".

5. Once the settings are complete, execute the test. If the test is successful, the specified file will be available for download.
Click "Download" to actually download the file and check it.

If there are no issues, click "Save" to complete the settings.

Step 5: Setting the Box Action

1. Click "Upload File" in the template.

2. Select the Box account you want to use and click "Next".

3. Set the "File Name" using the output.
Select "Item Name_Trigger" within "When a file is created or updated in a specific folder". This allows you to reference the name of the file obtained in Step 3.

4. Set as follows:

  • Content ID of the destination folder: Open the Box folder where the file will be uploaded and enter the numeric part of the URL
  • File attachment method: Select "Use Output"
  • File: Select "Downloaded File_○○"

Once the settings are complete, click "Test" to execute the test.

5. If "Test Successful" is displayed, the file will be saved in Box.
Actually open the Box folder and check if the file has been uploaded.

If there are no issues, click "Save" to complete the settings.

Step 6: Turn ON the Trigger and Check Operation

This completes all the settings.
After completing the settings, a popup like the one below will be displayed, so turn "Turn on the trigger". Check if the flow is working properly!
