■Overview
Do you find it time-consuming to manually copy a Google Sheets spreadsheet, create an email, and send it whenever you need to share updates with stakeholders? These routine yet important tasks not only take time but also carry the risk of human error, such as copy mistakes and missed notifications. With this workflow, you can fully automate everything from copying the sheet to sending a Gmail notification whenever a row in Google Sheets is updated, smoothly eliminating these challenges.
■Who is this template for?
- Anyone who manually copies Google Sheets data as a backup after updating it
- Team leaders who notify stakeholders of updates via Gmail each time and want to reduce the effort involved
- Anyone who wants to automate the sheet duplication and sharing process and eliminate manual errors
■Benefits of using this template
- Automatically copy the sheet and send an email notification when a row in the spreadsheet is updated, reducing the time previously spent on manual tasks.
- Prevent human errors such as missed copies and notification mistakes caused by manual copy-and-paste work and email creation, improving operational accuracy.
■Flowbot steps
- First, connect Google Sheets and Gmail to Yoom.
- Next, select Google Sheets as the trigger, set the action to “When a row is updated,” and specify the spreadsheet you want to monitor.
- Then, set up the Google Sheets “Copy sheet (tab)” action and specify the source spreadsheet and sheet.
- Finally, set up the Gmail “Send email” action to send an email containing the ID and name of the sheet copied in the previous step.
※“Trigger”: An action that starts the flow. “Operation”: An action that performs processing within the flow after the trigger starts.
■Customizing this workflow
- In the Gmail email-sending action, set the email addresses of the recipients you want to notify in To, Cc, and Bcc as needed.
- You can freely edit the subject and body of the email. Insert information obtained in the previous step, such as the name or ID of the copied sheet, into the body to provide more specific notifications.
■Notes
- Connect Google Sheets and Gmail to Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- For important notes when using Google Sheets as an app trigger, see “[App Trigger] Important Notes for Google Sheets Triggers.”
