■Overview
When managing multiple sheets in Google Sheets, do you find it time-consuming to manually update information in another sheet and email stakeholders after adding a row to one sheet? These manual tasks not only take time but can also lead to errors, such as missed updates or forgotten notifications. With this workflow, adding a row to Google Sheets automatically updates a record in another sheet and sends a notification via Gmail, helping improve both efficiency and accuracy.
■Recommended for
- Anyone managing projects, tasks, or other information across multiple Google Sheets and updating them manually
- Anyone who notifies stakeholders via Gmail after updating data and wants to streamline the entire process
- Anyone who wants to prevent human errors such as data entry mistakes or missed stakeholder notifications
■Benefits
- Automate the entire process—from adding a row to Google Sheets to updating another sheet and sending a Gmail notification—so you can save time on tasks that were previously handled manually.
- Reduce the risk of human errors, such as missed updates or incorrect recipients, which can easily occur when transferring data or sending emails manually.
■Flowbot steps
- First, connect Google Sheets and Gmail to Yoom.
- Next, select Google Sheets as the trigger, set the action to “When a row is added,” and specify the sheet to monitor.
- Then, set the Google Sheets “Update a record” action as an operation and specify the other sheet to update and the conditions for the update.
- Finally, set the Gmail “Send an email” action as an operation, specify the recipients, subject, and message body, and send the notification email.
※ “Trigger”: An action that starts the flow. “Operation”: An action that performs processing within the flow after the trigger starts.
■Customization options
- In the Google Sheets trigger settings, select the spreadsheet and specific sheet that you want to trigger the Flowbot.
- In the Google Sheets action for updating a record, specify the spreadsheet, sheet, and conditions used to identify the row to update. You can also flexibly set each field to values retrieved by the trigger or fixed values.
- In the Gmail email action, you can set the recipients (To, Cc, and Bcc). You can also insert information retrieved by the trigger into the subject and message body to create dynamic notification emails.
■Notes
- Connect both Google Sheets and Gmail to Yoom.
- You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- For important notes on using Google Sheets as an app trigger, see “[App Trigger] Important Notes on Google Sheets Triggers”.
