■Overview
Manually processing OCR and entering data into systems after uploading files to Box can be time-consuming and prone to errors. This workflow helps resolve these challenges by automating the entire process—from triggering the workflow when a file is uploaded to Box, through OCR processing, to automatically entering the extracted information into a browser via RPA integration. Streamline repetitive daily tasks and free up time for more creative work.
■Who Is This Template For?
- Anyone who uses Box, manually processes uploaded documents with OCR, and enters the information into another system
- Operations teams overwhelmed by repetitive data entry and unable to focus on core responsibilities
- DX teams looking for practical ways to automate workflows by integrating RPA with various SaaS applications
■Benefits of This Template
- Automate everything from uploading files to Box and processing them with OCR to entering the extracted information into a browser, freeing up time for other tasks.
- Eliminate manual data transfers and entry to help prevent human errors such as incorrect inputs and missed checks.
■Flowbot Steps
- First, connect Box to Yoom.
- Next, select Box as the trigger and set the action to “When a file is uploaded to a folder.” This automatically starts the flow whenever a new file is added to the specified Box folder.
- Then, set the Box “Download a file” action as an operation to retrieve the file detected by the trigger.
- Next, set the AI “Extract text from images and PDFs” action as an operation to extract text from the downloaded file.
- Finally, set the RPA “Operate a browser” action as an operation to automatically enter the extracted text into the specified browser screen.
※“Trigger”: An action that starts a flow. “Operation”: An action that processes data within a flow after the trigger starts.
■Customization Options
- For the Box trigger, enter the content ID of the folder you want to automate. Specify a folder associated with a particular project or process to enable more targeted automation.
- For the AI text extraction settings, customize the file type to process and the specific fields to extract, such as invoice numbers, dates, and amounts.
- For the RPA browser operation settings, customize the URL, input fields, and actions in detail to match your workflow, such as entering information into specific fields or clicking buttons.
