■Flow Bot Steps
- First, connect Microsoft Excel and Google Sheets in the My Apps management screen in Yoom.
- Next, select the Schedule Trigger feature as the trigger and configure the “Schedule Trigger” action. This automatically starts the Flow Bot on a specific day and time each week.
- Then, configure Microsoft Excel’s “Retrieve Records” action under Operations, and specify the file, sheet, and range containing the information required for property management.
- Next, configure the AI feature’s “Generate Text” action under Operations, and instruct the AI to generate property management information based on the data retrieved from Microsoft Excel.
- Finally, configure Google Sheets’ “Add Record” action under Operations to automatically record the AI-generated information in the specified spreadsheet.
※“Trigger”: An action that starts a flow. “Operation”: An action that performs processing within a flow after the trigger starts.
■Customization Options
- With the AI feature’s “Generate Text” action, you can use prompts to specify in detail which data retrieved from Microsoft Excel to use and what kind of property management information you want the AI to generate, such as organized property summaries, risk assessments, or recommended actions.
- With Google Sheets’ “Add Record” action, you can customize the workflow to record not only AI-generated information but also specific data fields retrieved from Microsoft Excel and fixed values such as dates. You can also flexibly specify which information to record in each column by mapping headers to dynamic values.
■Notes
- Connect each of Google Forms and Notion with Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Please note that the shortest trigger interval varies by plan.
