■Overview
Expense applications contain a wide range of information, and checking for errors and making corrections in Google Sheets can take up a significant amount of time. Manual checks are also prone to human error, while resubmissions and other follow-up tasks can add to the workload. With this workflow, AI automatically checks for errors and updates the data whenever an expense application is added to Google Sheets, helping resolve these challenges.
■Who this template is for
- Accounting professionals who manage expense applications in Google Sheets and want to streamline the review process
- Back-office professionals who want to reduce rework caused by errors in applications and speed up expense processing
- Anyone who wants to automate routine checks with AI and focus on core responsibilities
■Benefits of using this template
- When an application is added to Google Sheets, AI automatically checks for errors and updates the data, reducing the time required for manual reviews.
- Because AI performs consistent checks based on predefined rules, it helps reduce the risk of human error, such as missed issues and inconsistent judgments.
■Flowbot workflow
- First, connect Google Sheets to Yoom.
- Next, select Google Sheets as the trigger, set the “When a row is added” action, and specify the sheet containing the expense applications.
- Then, set the “Generate text” action under AI features and enter instructions (prompt) for checking the application details in the added row for errors.
- Finally, set the “Update record” action for Google Sheets and append the AI review results, such as whether there are any errors and which items need correction, to the relevant row.
※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization options
- For the Google Sheets trigger, specify the sheet where expense applications are added and the columns to monitor.
- For the AI feature’s “Generate text” operation, customize the instructions (prompt) for checking errors based on the expense application fields, such as the date, amount, expense category, and attachments. You can also include the application details retrieved from Google Sheets as variables in the prompt.
- For the Google Sheets “Update record” operation, configure which columns should contain the AI review results and how those results should be reflected.
■Notes
- Connect Google Sheets to Yoom.
- You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- For precautions when using Google Sheets as an app trigger, see “[App Trigger] Precautions for Google Sheets Triggers”.
