■Overview
Is it time-consuming to review each receipt uploaded to Dropbox and enter the details into Google Sheets? Manual data entry can also lead to input errors and missed checks. With this workflow, uploading a receipt to Dropbox triggers OCR to extract its contents and automatically add the data to Google Sheets, helping you solve these challenges.
■Who Should Use This Template
- Anyone who stores receipts in Dropbox and manages expenses in Google Sheets
- Accounting professionals and sole proprietors looking to streamline receipt digitization and data entry
- Anyone looking to reduce manual input errors and improve operational accuracy
■Benefits of Using This Template
- Automate OCR processing after uploading files to Dropbox and entering the data into Google Sheets to reduce time spent on manual tasks.
- Reduce human errors, such as data entry mistakes and misread information, and improve data accuracy.
■Workflow
- First, connect Dropbox and Google Sheets with Yoom.
- Next, select Dropbox as the trigger and set the action to “When a file is created or updated in a specific folder.”
- Then, set the Dropbox “Download a file” action as an operation to retrieve the uploaded receipt file.
- Next, set the OCR “Extract text from an image or PDF” action as an operation to extract text information from the downloaded file.
- Finally, set the Google Sheets “Add a record” action as an operation to add the extracted information to the specified spreadsheet.
※ “Trigger”: An action that starts the workflow. “Operation”: An action that processes data within the workflow after the trigger starts.
■Customization Options
- You can set the interval for detecting file creation or updates as the Dropbox trigger condition.
- With the OCR feature, you can choose the AI engine used for text recognition based on your requirements.
■Notes
- Connect both Dropbox and Google Sheets with Yoom.
- AI operations for OCR and audio transcription are available only on the Team and Success plans. On the Free and Mini plans, configured workflow operations will result in an error.
- Paid plans, including the Team and Success plans, come with a two-week free trial. During the free trial, you can use apps and AI features (operations) that are otherwise subject to plan restrictions.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Be aware that the shortest available trigger interval varies by plan.
