■Overview
When preparing for a meeting or presentation, you may need to convert shared PDF materials into PowerPoint (PPT) format for further editing. However, searching for an online tool and manually converting files each time is time-consuming and can take you away from your core work. With this workflow, simply uploading a PDF file to Box triggers the automatic conversion and storage of the PPT file through RPA, freeing you from the tedious PDF-to-PPT conversion process.
■Who should use this template
- Anyone who regularly converts PDF materials stored in Box into PPT files manually
- Anyone who wants to automate recurring PDF-to-PPT conversion tasks and reduce the time spent on them
- Anyone who wants to streamline routine tasks related to creating materials and improve team productivity
■Benefits of using this template
- PDF-to-PPT conversion starts automatically when a file is uploaded to Box, allowing you to spend the time previously devoted to manual work on other tasks.
- Eliminating manual conversion and file storage helps prevent human errors, such as conversion mistakes and saving files in the wrong location.
■Workflow
- First, connect Box to Yoom.
- Next, select Box as the trigger and set the folder you want to monitor using the “When a file is uploaded to a folder” action.
- Next, configure Box’s “Download a file” action as an operation to download the PDF file detected by the trigger.
- Next, configure the RPA feature’s “Operate the browser” action as an operation, then use a file conversion website of your choice to convert the PDF to PPT.
- Next, configure the AI feature’s “Extract text data” action to extract text information from the converted file as needed.
- Finally, configure Box’s “Upload a file” action as an operation to store the converted PPT file in the specified folder.
※ “Trigger”: An action that starts a workflow. “Operation”: An action that processes data within a workflow after the trigger starts.
■Customization options
- With the RPA feature’s “Operate the browser” action, you can set the URL of the website used for PDF-to-PPT conversion and customize specific actions, such as clicking and selecting files.
- When uploading files to Box, you can specify the destination folder and customize the file name by inserting dynamic information (variables), such as the original file name or conversion date.
■Notes
- Connect Box to Yoom.
- The “Operate the browser” operation is available only on the Success Plan. Please note that operations configured in your workflow will result in an error on the Free, Mini, and Team Plans.
- Paid plans, such as the Success Plan, include a two-week free trial. During the free trial, you can use restricted apps and the “Operate the browser” operation.
- See below for how to configure the “Operate the browser” operation.
