When a Calendly event meets specific conditions, create an event in Outlook Calendar

When a Calendly event meets specific conditions, create an event in Outlook Calendar

Launch this workflow to connect Calendly & Microsoft Outlook !
■Overview
After scheduling a meeting in Calendly, manually adding it to your Outlook calendar can be time-consuming. This is especially true when you only want to manage specific important sales meetings or events in Outlook, as manual data entry can lead to errors and missed registrations. With this workflow, whenever an event that meets specific conditions is added to Calendly, an event is automatically created in your Outlook calendar. This eliminates the integration challenges between Calendly and Outlook and enables seamless schedule management.
‍
■Who this template is for
  • Anyone who uses Calendly and Outlook together and finds manually adding events time-consuming
  • Anyone who wants to reliably manage important Calendly events in their Outlook calendar
  • Anyone who wants to automate the integration between Calendly and Outlook and streamline schedule management
‍
■Benefits of using this template
  • Events are automatically created in Outlook when they are added to Calendly, eliminating the need for manual data entry and freeing up your time
  • By removing manual data entry, you can prevent human errors such as missed event registrations and incorrect dates or times, ensuring accurate schedule management
‍
■Flow bot steps
  1. First, connect Calendly and Outlook to Yoom
  2. Next, select Calendly as the trigger and set the “When an event is added” action
  3. Then, select the branching feature in Operations and configure it to proceed only when specific conditions are met
  4. Finally, select Outlook in Operations and set the “Create an event in my calendar” action to create an event based on the Calendly event details
※ “Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
‍
■Customization options
  • With the branching feature, you can set custom conditions based on the information retrieved from Calendly, such as branching the process when the event name contains “Sales meeting”
  • When creating an event in Outlook, you can optionally add attendees other than yourself. This also lets you automatically share the event with relevant participants
‍
■Notes
  • Connect both Calendly and Outlook to Yoom.
  • Microsoft 365 (formerly Office 365) offers plans for home use and businesses (Microsoft 365 Business). Authentication may fail if you are not subscribed to a business plan.
  • Branching is an Operation available on the Personal plan and higher. On the Free plan, configured Operations in your flow bot will result in errors.
  • Paid plans, including the Personal plan, come with a two-week free trial. During the free trial, you can use apps and features (Operations) that are otherwise subject to plan restrictions. For details, see the pricing plans page.
