Receive notifications in Outlook when emails matching specific conditions arrive in Zoho Mail

Launch this workflow to connect Zoho Mail & Microsoft Outlook !
■Overview
Do you want to check important emails received in Zoho Mail in the Outlook account you primarily use, but find manual forwarding and switching between apps time-consuming? With this workflow, you can automatically send notifications to Outlook whenever a specific email is received in Zoho Mail. Seamlessly connect Zoho Mail and Outlook to prevent missed emails and streamline your review process.
‍
■Who this template is recommended for
  • Those who use Zoho Mail and Outlook together and want to eliminate the extra effort of checking emails twice
  • Those who want to respond quickly to important emails, such as customer inquiries, without missing them
  • Those who want to eliminate human errors such as missed email checks and forgotten forwarding
‍
■Benefits of using this template
  • Because specific emails received in Zoho Mail are automatically notified in Outlook, you can reduce the time spent checking emails and focus on other tasks.
  • Because the system processes everything automatically, it reduces the risk of human errors such as missing or overlooking important emails, helping ensure reliable information sharing.
‍
■Flow bot steps
  1. First, connect Zoho Mail and Outlook to Yoom.
  2. Next, select Zoho Mail as the trigger and set the action to “When an email arrives in a specific folder.”
  3. Then, select the branching feature in Operations and set the conditions for the emails you want to be notified about, such as the subject or sender.
  4. Finally, select Outlook in Operations and configure the “Send an email” action to send a notification email to the specified recipients.
※“Trigger”: An action that starts the flow. “Operation”: An action that processes the flow after the trigger starts.
‍
■Customization options for this workflow
  • With the branching feature, you can freely set the conditions for the emails that trigger notifications. For example, you can specify conditions such as when the email subject or body contains specific keywords or when an email is received from a specific sender address.
  • For Outlook notifications, you can freely specify any recipients, including your own email address, specific team members, or a team mailing list.
‍
■Notes
  • Connect both Zoho Mail and Outlook to Yoom.
  • You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes. Please note that the shortest available interval varies by plan.
  • Microsoft 365 (formerly Office 365) offers plans for home users and plans for businesses (Microsoft 365 Business). Authentication may fail if you are not subscribed to a business plan.
  • Branching is an Operation available on the Personal plan and above. On the Free plan, the configured Flow bot operation will result in an error.
  • Paid plans such as the Personal plan include a two-week free trial. During the free trial, you can use apps and features (Operations) that are otherwise restricted. For details, see the Pricing plans page.
