■Overview
Do you find it time-consuming to convert recurring Excel file data into CSV format and share it with stakeholders by email? While the task itself is simple, performing it frequently can take time away from other important work. With this workflow, simply upload an Excel file to Box and RPA will automatically convert it from Excel to CSV and email it to the specified recipients. Improve inefficient manual processes and create an environment where you can focus on higher-value work.
■Who This Template Is For
- Anyone who manages files in Box and manually converts files from Excel to CSV
- Anyone who wants to automate the recurring Excel-to-CSV conversion and email reporting process to save time
- Anyone looking to use RPA to automate routine tasks such as file format conversion
■Benefits of This Template
- Simply upload an Excel file to Box, and everything from conversion to email delivery runs automatically, reducing the time previously spent on manual work.
- Prevent human errors such as file conversion mistakes, incorrect email recipients, and missing attachments to improve operational accuracy.
■Flow Bot Workflow
- First, connect Box to Yoom.
- Next, select Box as the trigger, set the “When a file is uploaded to a folder” action, and specify the target folder.
- Then, set the Box “Download a file” action as an operation to retrieve the file uploaded by the trigger.
- Next, set the RPA “Operate a browser” action as an operation and record the steps for converting the downloaded Excel file to CSV format.
- Finally, set the email “Send an email” action as an operation, attach the converted CSV file, and send it to the specified recipients.
※ “Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customizing This Workflow
- With the RPA “Operate a browser” action, you can choose the site used to convert Excel files to CSV and configure the specific steps to perform.
- With the “Send an email” action, you can specify any recipient email addresses. You can also embed information such as the file name retrieved in an earlier step as a variable in the email body, in addition to using fixed text.
■Notes
- Connect Box to Yoom.
- The “Operate a browser” operation is available only on the Success Plan. On the Free, Mini, and Team plans, operations configured in the flow bot will result in an error.
- Paid plans, including the Success Plan, come with a two-week free trial. During the free trial, you can use restricted apps and the “Operate a browser” operation.
- For instructions on configuring the “Operate a browser” operation, see the guide below.
See this guide - Customize the “Operate a browser” operation to match the website you use.
