■Overview
Do you use Airtable and Dropbox for file management but find manually moving files time-consuming or struggle with storage errors? Manually selecting and uploading only the files that meet specific conditions can be both time-consuming and burdensome.
With this workflow, files attached to records that meet your specified conditions are automatically stored in a designated Dropbox folder as soon as a record is added to Airtable, helping you seamlessly resolve these challenges.
■Who Is This Template For?
- Anyone who uses Airtable and Dropbox together and wants to streamline manual file storage
- Anyone who wants to automatically back up only specific files managed in Airtable to Dropbox
- Anyone who wants to prevent errors such as missed uploads or storing files in the wrong location
■Benefits of This Template
- Automatically store files in Dropbox when a record is added to Airtable, reducing the time spent on manual tasks.
- Prevent human errors such as missed uploads or storing files in the wrong location by setting file storage conditions in advance.
■Flow Bot Steps
- First, connect Airtable and Dropbox to Yoom.
- Next, select Airtable as the trigger and set the action to “When a record is added.”
- Then, set up branching in the operation and configure the workflow to proceed only when a record meets specific conditions.
- Next, configure Airtable’s “Download record file” action in the operation to download the attached file.
- Finally, configure Dropbox’s “Upload file” action in the operation to store the downloaded file in the designated folder.
※ “Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization Options
- In the Airtable trigger settings, select the database or table you want to monitor.
- In the branching settings, define the conditions for uploading files. For example, you can branch the workflow based on a specific status or value in the record.
- When uploading files to Dropbox, specify the destination folder.
■Notes
- Connect both Airtable and Dropbox to Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- The shortest available trigger interval varies by plan.
- For details on how to retrieve Airtable outputs, see this guide.
- Branching is an operation available on the Mini plan and above. On the Free plan, operations configured in the flow bot will result in an error.
- Paid plans, including the Mini plan, offer a two-week free trial. During the trial, you can use apps and features (operations) that are otherwise subject to restrictions.
- The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
- For details on the file sizes supported by triggers and individual operations, see this guide.
