■Overview
Are you manually scheduling Zoom meetings based on customer or applicant information managed in Airtable? This manual process is not only time-consuming but can also lead to human errors, such as data entry mistakes and missed follow-ups. With this workflow, you can automate the integration between Airtable and Zoom and automatically create a Zoom meeting when a specific record is added, eliminating various issues caused by manual work.
■Who This Template Is For
- Anyone who manually creates Zoom meetings based on information managed in Airtable
- Anyone who wants to connect Airtable and Zoom to streamline tasks such as scheduling sales meetings and interviews
- Anyone who wants to eliminate manual data entry errors and missed follow-ups and focus on core tasks
■Benefits of Using This Template
- A Zoom meeting is automatically created when a record is added to Airtable, reducing the time previously spent on manual work and enabling faster responses
- Helps prevent human errors that commonly occur when setting up meetings manually, such as copy-and-paste mistakes and missing settings
■Flowbot Workflow
- First, connect Airtable and Zoom with Yoom
- Next, select Airtable as the trigger and set the action to “When a record is added”
- Next, set up the “Branching” feature in the operation so that only records matching specific conditions proceed to the subsequent steps
- Finally, set Zoom’s “Create a meeting” action as the operation to run when the conditions are met, and create a meeting based on the Airtable record information
※ “Trigger”: The action that starts the flow. “Operation”: The action that performs processing within the flow after the trigger starts.
■Customization Options
- Based on the record information retrieved from Airtable, set your preferred conditions for creating a meeting using the “Branching” feature. For example, you can target only records with a specific status
- When creating a meeting in Zoom, use dynamic values retrieved from Airtable records to set information such as the topic, agenda, and date and time
■Notes
- Connect both Airtable and Zoom with Yoom.
- You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- Note that some Zoom actions may not be available depending on your Zoom plan.
- At this time, the following actions are available only on paid Zoom plans.
- When a meeting ends
- Retrieve meeting recording information (only recordings stored in the cloud can be retrieved)
- For information on how to retrieve Airtable outputs, see this guide.
- Branching is a feature (operation) available on the Mini plan and higher. On the Free plan, operations configured in a Flowbot that uses branching will result in an error.
- Paid plans, such as the Mini plan, include a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to restrictions.
