When a specific event is scheduled in Calendly, create a payment link in Stripe

When a specific event is scheduled in Calendly, create a payment link in Stripe

Launch this workflow to connect Calendly & Stripe !

■Overview

Do you find it time-consuming to manually create and send payment links through Stripe for bookings made in Calendly?
With this workflow, you can automate everything from creating a Stripe payment link to sending it by email when a specific event is scheduled in Calendly. This helps reduce the time and errors associated with manual tasks. Streamline the process from booking acceptance to payment instructions, so you can focus on more important work.

■Who Should Use This Template

  • Anyone who wants to connect Calendly and Stripe to streamline booking and payment management
  • Anyone providing services that require payment for each booking, such as consulting or lessons
  • Anyone who wants to prevent missed communications and errors caused by manually issuing and sending payment links

■Benefits of Using This Template

  • When an event is scheduled in Calendly, a Stripe payment link is automatically generated and sent, reducing the time previously spent on manual tasks.
  • It helps reduce the risk of human error, such as entering the wrong payment amount or sending a payment link to the wrong recipient.

■How the Flowbot Works

  1. First, connect Calendly and Stripe to Yoom.
  2. Next, select Calendly as the trigger and set the action to “When an event is scheduled.”
  3. Set up the “Branch” function as an operation to target only specific events, and specify the conditions for proceeding to the next steps.
  4. Then, select Stripe as an operation and set the action to “Create a payment link.”
  5. Finally, select Yoom’s email function as an operation and configure it to automatically send an email containing the created payment link.

※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Customization Options

  • With the Branch function, you can freely set conditions, such as proceeding to the next steps only when the event name or the invitee’s responses contain specific keywords.
  • When creating a Stripe payment link, you can set any price ID or quantity based on the event details.
  • For automatically sent emails, you can customize the recipient address, add fixed text to the subject or body, and embed information retrieved in previous steps as variables.

■Notes

  • Connect both Calendly and Stripe to Yoom.
  • The “Branch” operation is available on the Mini Plan and above, while the Stripe integration is available only on the Team Plan and Success Plan. For other plans, the operations and data connections configured in the Flowbot
  • will result in an error, so please be careful.
  • Paid plans, including the Mini Plan, offer a two-week free trial. During the free trial, you can use operations (features) and apps that are otherwise subject to plan restrictions.
  • Set the price ID and quantity for the “Create a payment link” action to values appropriate for the event.
