When a file is uploaded to a folder in Box, extract text with OCR and create a Person in Copper

■Overview

Manually entering information from business cards and other documents uploaded to Box into Copper is time-consuming and can lead to data entry errors. Spending time on these repetitive tasks can make it difficult to focus on more important work. With this workflow, whenever a file is uploaded to a specific Box folder, OCR automatically extracts the text and creates a new Person in Copper. Automate the integration between Box and Copper to resolve these challenges seamlessly.

■Flow Bot Steps

1. First, connect Copper and Box to Yoom.
2. Next, select Box as the trigger and set the action to “When a file is uploaded to a folder.”
3. Then, set the Box “Download a file” action as an operation and specify the uploaded file.
4. Next, set the OCR “Extract text with OCR” action as an operation to extract text from the downloaded file.
5. Finally, set Copper’s “Create Person” action as an operation to create a new Person based on the information extracted by OCR.

※“Trigger”: The action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Customization Options

• In the Box trigger settings, you can specify the folder ID of the folder where files should be uploaded to start the automation.
• When creating a Person in Copper, you can choose which information extracted by OCR is assigned to each field, such as name, company name, and email address.

■Notes

• Connect both Box and Copper to Yoom.
• AI operations for OCR and audio transcription are available only on the Team and Success Plans. On the Free and Mini Plans, operations in configured flow bots will result in errors.
• Paid plans, including the Team and Success Plans, offer a two-week free trial. During the free trial, you can use restricted apps and AI features (operations).
• Please note that OCR may not be able to read data containing more than 6,500 characters or text that is too small.
• The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
