■Overview
Manually transferring information from documents such as invoices and contracts uploaded to Box into Keeping can be time-consuming and prone to input errors. Many teams also struggle to focus on their core work because routine tasks like these take up valuable time.
With this workflow, uploading a file to Box triggers OCR to automatically read the document information and register the client details in Keeping. Automate the integration between Keeping and Box to streamline manual data entry.
■Who Should Use This Template
- Teams that use both Box and Keeping and want to eliminate duplicate data entry
- Teams that want to prevent manual input errors when registering clients in Keeping
- Teams that want to streamline their operations by connecting Box-based data management with Keeping’s client management
■Benefits of This Template
- Create a client in Keeping simply by uploading a file to Box, reducing the time spent on manual data entry
- Improve data accuracy by using OCR-based text extraction and automatic registration to prevent human errors such as transcription mistakes and missing entries
■Flowbot Steps
- First, connect Box and Keeping to Yoom
- Next, select Box as the trigger and set the action to “When a file is uploaded to a folder”
- Then, set the Box “Download File” action as an operation to download the file detected by the trigger
- Next, set the “Run OCR” action using the OCR operation to extract the required information from the downloaded file as text
- Finally, set Keeping’s “Create Client” action as an operation to create a client based on the information extracted by OCR
※ “Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization Options
- In the OCR operation, you can customize which parts of the file to extract text from
- In the operation that creates a client in Keeping, you can customize each setting by entering fixed text or dynamically inserting values such as the company name retrieved by the preceding OCR operation
