Every time a new file is added to Microsoft SharePoint, reviewing its contents and manually searching for related information can be time-consuming. This manual work can become a bottleneck, especially when fast information gathering is essential. With this workflow, adding a file to Microsoft SharePoint triggers OCR to extract text from the file, automatically searches for related information with SerpApi, and sends notifications—streamlining your research process from start to finish.

■Workflow
- First, connect Microsoft SharePoint and SerpApi to Yoom.
- Next, select Microsoft SharePoint as the trigger and set it to “When a file is created or updated in a specified folder on a site.”
- For the operation, set Microsoft SharePoint’s “Download a file” action to download the file detected by the trigger.
- Next, set the OCR feature’s “Extract text with OCR” action to extract text from the downloaded file.
- Then, configure the branching feature and set the conditions for subsequent processing based on the information obtained in the previous step.
- For the operation, set SerpApi’s “Get Google search results” action to run a search based on the extracted text.
- Finally, set the email feature’s “Send an email” action to notify relevant stakeholders of the search results obtained from SerpApi.

- In the Microsoft SharePoint trigger settings, set the site ID and folder ID you want to monitor.
- With the branching feature, you can set conditions for running subsequent operations, such as whether the text extracted with OCR contains specific words.
- With the OCR feature, you can customize settings such as which part of the target file to extract text from.
- In the SerpApi search settings, you can use fixed values or information obtained in previous steps as variables, such as setting the text extracted with OCR as the search keyword.
- In the email settings, you can specify the recipients, subject, and body. You can also include information from previous steps as variables in the body, such as the search results obtained from SerpApi.
■Notes
- Connect both Microsoft SharePoint and SerpApi to Yoom.
- Microsoft365 (formerly Office365) offers plans for home use and general business use (Microsoft365 Business). Authentication may fail if you are not subscribed to a general business plan.
- Due to the app’s specifications, the file creation date and last modified date may not be the same, which may result in incorrect branching.
- You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- Paid plans such as the Mini, Team, and Success plans offer a two-week free trial. During the free trial, you can use apps that are otherwise subject to restrictions.
- Branching is a feature (operation) available on the Personal plan and above. On the Free plan, operations in configured flow bots that use branching will result in errors.

- The maximum file size available for download is 300 MB. Depending on the app’s specifications, the limit may be less than 300 MB.
- When using files in triggers or operations, see File size limits.
- Microsoft SharePoint is available on the Mini plan and above. On the Free and Personal plans, operations and Data Connect configured in flow bots that use Microsoft SharePoint will result in errors.
- When searching, combining multiple keywords can help you retrieve relatively accurate information.
