■Overview

Manual adjustments are not only tedious but can also lead to human errors, such as data entry mistakes and overlooked preferences. With this workflow, AI automatically reads data from Google Sheets at a specified date and time, creates shifts based on the defined conditions, and outputs them to Microsoft Excel, making it easy to automate previously time-consuming shift management.

■How the Flow Bot Works
  1. First, connect Google Sheets and Microsoft Excel to Yoom.
  2. Next, select the schedule trigger under Triggers and set the date and time when you want to run the flow bot.
  3. Next, configure the Google Sheets operation, “Retrieve multiple records,” to retrieve information from the sheet containing staff availability and shift preferences.
  4. Next, use the “Repeat processing” operation to process the retrieved records one at a time.
  5. Next, select “Generate text” under Operations and instruct the AI to create shifts based on the retrieved data.
  6. Next, use the “Extract text” operation to extract the necessary information, such as dates and staff names, from the shift proposal generated by the AI.
  7. Finally, configure the Microsoft Excel operation, “Add a record,” to add the extracted shift information to the designated file.
※ “Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger runs.

■Customization Options
  • In the “Generate text” operation, customize the instructions (prompt) you provide to the AI to create shifts. You can specify the basic shift patterns and constraints in detail, such as your store’s operating rules and staff skills.
  • In the “Extract text” operation, configure the field names to extract from the shift proposal generated by the AI, such as the date, assignee, and working hours, for use in subsequent Microsoft Excel actions.

  • Connect both Google Sheets and Microsoft Excel to Yoom.
  • Microsoft 365 (formerly Office 365) offers plans for home users and business users (Microsoft 365 Business). Authentication may fail if you are not subscribed to a business plan.
