This time, we aim to achieve more efficient task management by integrating Backlog with Google Chat.

So, what are the benefits of actually integrating the two?
We will also introduce automated tasks.

Benefit 1: Real-time Notifications
You can receive real-time notifications of Backlog updates on Google Chat.
For example, when there are task updates or comments in Backlog, they are notified in real-time on Google Chat, allowing all team members to share the latest information.
By being able to grasp the project status on chat, you can prevent missing confirmations and respond immediately.
Task update information and comments can be automatically set to notify Google Chat, eliminating omissions and duplications due to human processes.

Benefit 2: Efficient Information Management
You can receive notifications of Backlog task updates on Google Chat and add issues to Backlog. This helps prevent management oversights of issues.
Moreover, you can check task information without opening Backlog, saving the hassle of switching between multiple tools as before, thus improving work efficiency.
For example, if a new issue arises while discussing a Backlog task on Google Chat, you can automatically add the issue from Google Chat without opening Backlog.

How to Create a Backlog and Google Chat Integration Flow

Let's move on to the actual integration settings!

This time, we will use Yoom for the integration.
Yoom is a visually intuitive tool, so you can set up the integration without specialized knowledge!
If you don't have a Yoom account, please obtain one from the Yoom Account Issuance Page.
It's very easy to get started!
For basic operations of Yoom, please refer to Getting Started with Yoom.

‍Once you have logged into your Yoom account,
1. Click on "Register My App" and select "Create New".

2. Select the app you want to register (in this case, Backlog and Google Chat) and log in with the account you will use.

Once you have registered Backlog, click "Create New" again to register Google Chat.

3. Once registered, an icon will appear in My Apps.
Please check if the icons for Backlog and Google Chat are displayed.

Now, let's proceed to set up the integration for the two apps! We will create a flow called [Notify Google Chat when a comment is added to an issue in Backlog].
This is a flow bot that notifies a specific space in Google Chat when a comment is added to an issue in Backlog.
You can freely change the destination space and notification content when creating it.

1. Click "Create New" from "My Projects" and select "Create from Scratch".

2. Enter a clear title that reflects the flow content, select "When a specific app event occurs", and choose Backlog.

3. Select "When a comment is added to an issue" as the trigger action and click "Next".

4. Follow the on-screen steps.
① Copy the Webhook URL below and configure it in the management screen of the target app.
② Send a Webhook event or execute the trigger event, then click Test.


5. If the test is successful, click "Save".

5. Click the "+" on the saved flow, select "Integrate an app" from the operation type selection, and click Google Chat.

6. Select "Send a message to space" as the action and click "Next".


7. Enter "Space ID", "Key", "Token", and "Message".
The Space ID is the string after "/space/" in the Google Chat URL.
The Key is the string after "key=" in the Webhook URL obtained from "Space Name > Manage Webhooks".
The Token is the string after "token=" in the Webhook URL obtained from "Space Name > Manage Webhooks". Note: Remove the trailing "%3D".
You can use the output information obtained from Backlog for the message, so enter the text while selecting from the output.
Click "Test", and if the test is successful, click "Save".


This completes the flow of [Notify Google Chat when a comment is added to an issue in Backlog].

8. Finally, switch the trigger to "ON" to activate it.

Advanced Integration Flow of Backlog and Google Chat

In addition to the flows introduced so far, Yoom allows you to create various flows tailored to your business needs!
‍For example, a flow like [When there is a response to a form, add a task to Backlog and notify Chatwork].
Using the Yoom form, when a response is submitted, a task is added to Backlog based on the response content and a notification is sent to Chatwork.
Although this article focuses on integration with Google Chat, you can also set up notifications to Chatwork.
You don't have to manually check the form responses, as tasks are automatically added to Backlog and notifications are sent to Chatwork, eliminating any gaps or omissions in information management.

Additionally, you can create a flow like [Transcribe and summarize audio data from form responses and notify Google Chat].
Audio data attached to the Yoom form is transcribed and summarized (converted into minutes) using AI features, and then notified to Google Chat.
By notifying the content of the minutes to Google Chat, you can share meeting minutes and other details with your team just by posting on the Yoom form.
You can also create this by changing the Yoom form trigger to a Google form trigger.
