How to Create a Notion and Outlook Integration Flow

Now, let's introduce the steps to create a flow bot that "automatically sends emails using Notion database information in Outlook."

There are two steps in total for this flow bot!

My App Integration

First, let's integrate Notion and Outlook with Yoom.
Next, integrate Notion and Outlook with Yoom.
This is called "My App Integration."

First, let's integrate Notion with Yoom.
When integrating Notion with Yoom, you need to create the page you want to send from Outlook at this stage, so please prepare it in advance.

This time, we have prepared a page like the one above, assuming schedule management.

Once Notion is ready, select My Apps from the menu on the left side of the screen and click on Create New in the upper right corner.
Enter Notion in the search box, and the Notion icon will appear, so press it.　

You will be taken to a screen like the one above, so press "Select Page."

Select the page you want to integrate with Yoom and click on Grant Access to complete the integration!

Next, let's integrate Outlook with Yoom.
The My App integration for Outlook is instantly completed if you are logged into Microsoft 365, so make sure to log into Microsoft 365 in advance.

Just like with Notion, search for "Outlook" from My Apps.
The Outlook icon will appear, and clicking it will complete the integration!

Next, please click "Try it" on the banner below.

You will see "Template has been copied", so click "OK".

Setting Triggers in Notion

From My Projects on the left side of the screen, click "【Copy】Automatically send emails using Notion database information in Outlook" and press edit in the top right corner.

Click the "Select and launch a page on the database" icon of the Chrome extension.

There is a page describing Yoom's Chrome extension in the red part of the image above, so please set it according to the content.
Once the Chrome extension settings are complete, press Next to proceed.

Next, obtain the Notion URL and enter it as a sample URL on the launch page.

It will be displayed when opened in a side peek like the red frame, so select it.

It will be in a split-screen state as shown in the image.
Copy the URL at the top and paste it into the Yoom screen you just used.

Once you have entered it, press the Test button at the bottom of the screen. If "Test successful" is displayed in blue, it is complete. Don't forget to press save.

That's all for the Notion settings.

Outlook Settings

Press the "Send Email" icon on Notion.
Since the necessary items are already entered by using the template, scroll down after confirming that the account information to be linked is correct.

Enter the address to which you want to send the email.
It is recommended to enter your own address for test sending first.

Continue to create the subject and body.
Regarding the body, you can attach data obtained from Notion.

Click inside the body box, and the data obtained will be displayed in a list as shown in the image above.
By selecting, it will be added, so choose the content you want to send.

Once the data is added, arrange it to make it easier to read.
Use symbols to organize the layout, so make good use of them!

Once you have entered up to this point, press Next.

Since the content of the email you set will be reflected, do a final check.
If there are no problems, press Test at the bottom of the screen, and if "Test successful" is displayed in blue, the email settings are complete.

Once you have done this, press save.

Next, turn ON the trigger. The initial setting is OFF, so turn it ON.
Once the trigger is ON, open the Notion page and select the Chrome extension from the top right of the screen.

By selecting Launch, the flow bot will start, and the email you set earlier will be sent from Outlook!
