⚠️ Make sure your database(s) are created in Notion before registering with Yoom.
Databases created after registering with Yoom cannot be linked, so make sure to prepare the database you plan to use before registering in My Apps. If you’ve already linked it with Yoom but need to use a new database, you’ll need to register in My Apps again.
For this example, we will retrieve ① Minutes as texts to be summarized from Notion, and add the generated summary into ② Summary.
Step 1: Register Notion and Perplexity in Yoom
Let’s start with connecting Notion and Perplexity in Yoom first.
Connect Notion
After logging into Yoom, go to "My Apps" from the left side menu and click "+Add".
Search for Notion in the app list and select it.
Log in with your Notion account.
When the following screen appears, click "Select Pages."
Select the page(s) to grant access to the database and click "Allowing Access".
Notion registration is complete :)
Connect Perplexity
As before, click on My Apps → Add.
Search for Perplexity from the app list and select it.
Enter an account name. Use a name that's easy to recognize, such as your company name or the person responsible for the account.

■Notes ・Please connect Yoom with both Notion and Perplexity. ・The trigger interval can be selected from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes. ・Please note that the shortest trigger interval varies depending on the plan.
Click "OK" and give the Flowbot a name to recognize.
The template will be copied to your "My Project".
Step 3: Set Up Notion Trigger
Let’s set up the trigger action to activate when a record in Notion database is created or updated. Click on the Notion trigger action.
Give your trigger a title (optional). Then confirm the pre-configured settings and click “Next”.
Set your trigger interval (how often you want Yoom to check Notion for new updates). It can be set to 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes. We recommend setting the trigger to the shortest activation interval available for your plan.
⚠️ Note: The trigger interval varies depending on your Yoom plan. Be sure to check your current plan’s limit.
Select the Database ID from the displayed options. (This is where you specify which database you want to check for updates.)
Once set, click “Test”.
If the test succeeds, click “Save”.
Step 4: Retrieve Data from Notion
Next, let’s set up to retrieve records from Notion. Click on the Notion action item.
Select the Database ID from the displayed options. (Select the same one as Step 3.)
Once set, click “Next”.
Set the conditions for the records you want to retrieve. From the dropdown menu, select “Object ID” to ensure that only records that have been created or updated are retrieved.
Once you've done this, click “Test”.
If the test succeeds, the retrieved value will be updated. We will use these values in the subsequent actions, so make sure it's correct :) Then hit “Save”.
📚 Reference: For more details on retrieved values and how to set it up, see the guide here.
In the "User Prompt", specify what should be summarized. In this example, we’ve selected ”Minutes” from the previous step. This means Perplexity uses the data from Notion to generate a summary.
The screen should get updated like this after selecting “Minutes”.It will look like the image when entered.
Refer to each annotation and configure the optional settings if needed.
Click "Test". If successful, click “Save”.
Step 6: Update Notion Database
Let’s set up an action to add the generated summary to the Notion database.
Click on the last Notion action item.
Select the Database ID (the same one as Steps 3 and 4), and click “Next”.
Set up the following sections.
Set Conditions to Find Records to Update
Choose the conditions that must be met for the record to be updated.
The tool will find the first matching record and update it. If multiple records match, only the first one in the list will be updated.
For this example, we select Record ID.
Define New Values to Update
Specify the new values for the record you want to update. If a field is left blank, it will not be updated.
For this example, we want to reflect the summarized minutes generated by Perplexity, so we select from the retrieved value as shown below.
Once you’ve completed the entry, click "Test". After a successful test, the Notion record will be updated. Once the update is confirmed, click "Save".
Step 7: Activate the Flowbot
Toggle the "Trigger On" button to activate your flow!
Check if the Flowbot you set up is working properly.
That’s it! Your Flowbot is complete!
