  • E-commerce site operators who require quick and accurate responses in customer interactions
  • Team leaders who want to quickly share the status of inquiry responses within the team

Benefits and Examples of Integrating Outlook, Dify, and Google Chat

Benefit 1: Improved Efficiency in Customer Support Operations

By automating the inquiry response flow from Outlook, you can reduce the time spent by staff manually checking emails and creating response content.
Additionally, with Dify's response creation, you can maintain the quality of responses even if the responsible staff changes.
Furthermore, notifications to Google Chat allow for quick content verification, making priority management easier.
This efficiency allows resources to be concentrated on more important tasks, leading to improved work efficiency.

Benefit 2: Increased Response Speed

Quick responses to inquiries are one of the important elements in customer support.
By utilizing Dify for response creation and Google Chat notifications, you can start responding as soon as an inquiry is received.
For example, emails received outside business hours are automatically processed, so you can be ready to respond by the next business day, improving work efficiency and reducing customer wait times.
Such quick responses are expected to increase customer satisfaction with the company.
This is especially effective in industries where customer support is crucial to business, such as e-commerce site operations.

Benefit 3: Reduction of Errors and Ensuring Consistency

Accuracy in the content of responses is required for inquiry handling.
Dify's response creation for inquiries utilizes templates and past data to minimize human error.
For example, even if the responsible staff changes, you can prevent inconsistencies in content and provide consistent responses.
Additionally, reducing mistakes such as incorrect information or typos is expected to improve the quality of customer support.
This is expected to make it easier to maintain and enhance customer trust while reducing human error.

Now, let's explain how to use the no-code tool Yoom to create response content with Dify and notify Google Chat when an inquiry email is received in Outlook.

[What is Yoom]

How to Create Response Content with Dify and Notify Google Chat When an Inquiry Email is Received in Outlook

It is possible to achieve this by receiving the email content received in Outlook using Outlook's API and creating a response proposal with Dify using the API provided by Dify.
Additionally, by using the API provided by Google Chat, you can also notify Google Chat of the email body and Dify's response proposal.
Generally, programming knowledge is required to achieve this, but with the no-code tool Yoom, it can be easily achieved without programming knowledge.

We will create this in the following major processes.

  • Integrate Outlook, Dify, and Google Chat with My Apps
  • Copy the template
  • Set triggers in Outlook and actions in Dify and Google Chat
  • Set the trigger to ON and complete the preparation for flow operation

If you are registered with Yoom, please log in, and if you are not registered, please register for free and then proceed with the setup.

Step 1: Connect Outlook, Dify, and Google Chat to My Apps

First, connect Outlook, Dify, and Google Chat to My Apps.
After logging into Yoom, click on "My Apps" on the left side of the screen, then search for and click on Outlook from "+New Connection".

Clicking will display the Microsoft sign-in page.
Enter the information for the account you want to use and click "Next".
This completes the Outlook My Apps connection.
*Microsoft365 (formerly Office365) has a plan for home use and a general business plan (Microsoft365 Business). If you are not subscribed to the general business plan, authentication may fail.

Next, search for Dify.

For detailed instructions on connecting Dify to My Apps, please check here.
Set any name for "Account Name".
Set the API key issued by Dify for "Access Token".
Once all settings are complete, click "Add" to complete the My Apps connection.

Next, search for Google Chat.
*Connection with Google Chat is only possible with Google Workspace. For details, please refer to here.
*If two apps appear in the search results, click on Google Chat (OAuth).

Next, click "Sign in with Google".

*The connection for Google Chat (OAuth) is explained here.
Enter "Client ID" and "Client Secret" and click "Register".
This completes the Google Chat My Apps registration.

Next, let's copy the Flowbot template.
Log into Yoom and click "Try it" on the banner below.

When the message "Template has been copied!" appears, click "OK" to complete the copy.

Step 2: Set up the Outlook trigger

Next, set up the Outlook trigger.
Click "When an email with a specific subject is received".

Next, check the "Account information to integrate with Outlook".
The title can be edited freely, but do not change the trigger action, and click "Next".

The "Trigger interval" can be set to 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
*Please note that the shortest trigger interval varies depending on the plan.
For "Mail folder ID", click the field and select from the displayed options.
Once the setup is complete, click "Test" to check if the information retrieved from Outlook is displayed in the output.
If there are no issues, click "Save".

Step 3: Set up the Dify action

Once all settings are complete, click "Test" to check the information displayed in the output.
If there are no issues, click "Save".

Step 4: Set up the Google Chat action

Next, set up the Google Chat action.
Click "Send message".

Edit the title as desired and verify the account information, then click "Next".

For "Space resource name", select a space from the options or refer to the annotation to quote the resource name from the Google Chat URL.
The "Message content" can be edited as desired. In this case, a message including the email subject, body, and Dify's response content was set.
Once the setup is complete, click "Test" to check if the message is sent to Google Chat.
If the message is sent successfully, click "Save".

Click "Turn on trigger" to complete the flow setup.
Now, when an inquiry email is received in Outlook, a response is automatically generated in Dify, and a notification is sent to Google Chat.
