Are you finding it cumbersome to organize daily sales data?
Manually managing information processed through Square is not only time-consuming but also prone to errors.
The solution to this problem is the integration of Square and Notion using Yoom.
You can create a system where sales data is automatically registered in Notion, allowing your entire team to easily share information.
By utilizing this flow, data management becomes more efficient, enabling you to smoothly decide on the next actions. Let's take a closer look at how this can be achieved!
By setting up a system where data from completed Square transactions is automatically registered in Notion, the efficiency of sales management is significantly improved. This eliminates the need for manual data entry, greatly reducing the workload.
For example, in a small café, the time spent entering sales data into a dedicated sheet daily can be saved, allowing focus on more important tasks.
Additionally, by centrally managing sales data in Notion, monthly financial reports and sales trend checks become easier. By creating an environment where necessary information can be quickly retrieved by managers and team members, decision-making speed is expected to improve.
Utilizing this system not only organizes sales data but also expands the scope of analysis and application, allowing daily operations to proceed smoothly.
Registering sales data obtained from Square in Notion and sharing it with the team makes information sharing among members significantly smoother.
For instance, in restaurants or retail stores, it is important for not only managers and owners but also staff to be aware of sales targets. When sales data, previously shared verbally or via email, can be easily checked in Notion, staff can independently verify daily targets and progress.
This reduces the need for managers or leaders to constantly check "how much sales have been achieved," allowing them to focus more on other tasks.
Moreover, by utilizing Notion's visual features to organize sales information in tables or card formats, the entire team can easily decide on the next actions while viewing the same information.
Implementing this system makes sales information management more transparent and strengthens team collaboration.
Recording sales data generated by Square in Notion and summarizing it in an easy-to-view format can improve the efficiency of business analysis. By using Notion's features to graph or organize sales data in table format, it becomes easier to understand trends during busy and slow periods.
For example, if certain services sell well during specific seasons, it can serve as a reference when planning campaigns or product launches for those times. This efficiency in analysis is expected to create an environment where management decisions can be made quickly and accurately.
Let's proceed with setting up the integration of Square and Notion using Yoom.
This flow involves "registering in Notion once a transaction is completed in Square."
The initial setting is "When a payment is created".
On the first page, the account information of the Square linked with My App is displayed.
Change the title to something easy to understand, check the account information, and proceed to the next step.
On the next page, set the trigger activation interval.
This setting checks whether a payment has been created in Square at specified intervals and activates the flow.
The selectable times vary depending on the plan, so please be careful.
After setting the activation interval, make a test payment in Square and click "Test".
If the test is successful, you can obtain the information of the test payment in the output.
Once you have obtained the output, click "Save" to complete the app trigger setup.
Make sure that the "Status" in the above output is properly obtained, as it will be used in the next setting.
Next, set up branching with "Command Operation".
By setting it as shown in the image above, only the outputs with the "Status" of "COMPLETE" obtained in the "When a payment is created" flow will branch and proceed to the next flow.
Once the setting is done, click "Save" to complete the branching setup.
The final setting is "Add a Record".
Similar to Square, on the first page, check the account information and modify the title. Scroll down to find the field to enter the Notion database ID and enter it.
After entering, click "Next" to confirm the connection with the database ID.
On the next page, select and enter the items that match the output obtained from Square and the Notion database items.
Once all necessary items are entered, click "Test".
If the test is successful, the payment information will be reflected in the specified Notion database.
Once confirmed, click "Save" to complete all settings.
Finally, turn on the trigger to activate the flow.
Now, after completing a payment in Square, the payment information will be automatically added to Notion!
The template used is as follows.
By automatically adding Square's transaction information to a Google Spreadsheet, you can reduce the workload of entering product data. Utilizing this flow makes it easier to keep track of the latest sales status while preventing manual input errors. This setup is ideal for those who want to streamline data management.
This flow allows you to automatically send a thank you email using Gmail every time a payment is made through Square. This enables prompt responses to customers, creates a courteous impression, and can help in gaining repeat customers. It is recommended for those who prioritize customer satisfaction.
When you register a client in Notion, a dedicated folder is automatically created in Microsoft SharePoint. By using this flow, organizing files for each client becomes easier, facilitating smooth information sharing and searchability. It is ideal for companies looking to enhance team work efficiency.
By integrating Square with Notion, organizing and sharing sales data becomes significantly easier. Yoom can be set up easily without any programming, making it accessible even for beginners.
