Let's Create a Flow to Integrate Microsoft Teams and Notion

Let's get started by creating a flow that integrates Microsoft Teams and Notion! This time, we'll use Yoom to proceed with the integration of Microsoft Teams and Notion without any coding. If you don't have a Yoom account yet, please create one from the Yoom registration form.

[What is Yoom]

This time, we will create a flow bot that creates a page in Notion when a message is posted in Microsoft Teams!
The creation process is broadly divided into the following steps.

  • Integrate Microsoft Teams and Notion with My Apps
  • Copy the template
  • Set the trigger for Microsoft Teams and the action for Notion
  • Set the trigger to ON and prepare for the flow operation

Step 1: Connect Microsoft Teams and Notion to My Apps

Here, we will connect Yoom with each app to enable operations.
1. Connect Microsoft Teams to My Apps
After logging into Yoom, click on My Apps on the left side of the Yoom page screen and select "+ Add" on the right.
Enter "Microsoft Teams" in the search box at the top right and select Microsoft Teams from the search results.

When the following screen appears, log in with the account you will use.

Please check here for more details.

2. Next, register Notion to My Apps.
Click on My Apps on the left side of the Yoom page screen and select New Connection on the right. Enter "Notion" in the search box at the top right and select Notion from the search results.
When the following screen appears, click on "Select a Page" in the red frame.

When the following screen appears, check the page you want to allow access to and click "Allow Access".

If Microsoft Teams and Notion are displayed in My Apps, registration is complete!

Step 2: Copy the Template

Now, let's create the flow! We are using a template to make it easy to set up, so let's copy this first.
Log in to Yoom and click "Try it" on the banner below.

When you copy, the template will be copied to your Yoom management screen as shown below, so press "OK" to proceed with the settings.

Step 3: Setting the Trigger for Microsoft Teams

This is the first memorable setting! First, click "When a message is sent to the channel".

Clicking will take you to the following screen. The item labeled account information contains the information from when you linked My Apps in Step 1.
Keep the title and trigger action as they are and proceed to the next step!

Go to the Microsoft Teams screen and set up a message as an example.
After setting it up, return to the Yoom screen and click "Next".

When you proceed to the next screen, the following screen will be displayed.

First, select the "Trigger Activation Interval".
You can choose from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes for the trigger activation interval.
※ Please note that the selection content of the activation interval varies depending on the plan.

Select "Team ID" and "Channel ID" from the candidates displayed by clicking the input bar.

Conduct a test, and if successful, click save.
Scroll down the screen and check if the output is displayed correctly.

This completes the trigger setting for Microsoft Teams!

Step 4: Setting to Extract Data from Text

Once the trigger setting is complete, click "Extract data from text".

Proceeding to the next step will display the following screen.
Select "Change". Choose the conversion type according to the number of characters in the text.

Once the selection is complete, click "Next".

Next, from the "Set Details" screen, enter the text to be extracted.
By selecting from the output as shown in the image, you can quote information from Microsoft Teams.

Proceed downwards, check the items you want to extract, and enter them directly.
Once the entry is complete, click "Test".

Check if the output is displayed correctly.
If there are no issues, click "Save" at the bottom.

This completes the setting to extract text!

Step 5: Setting the Action for Notion

Finally, the last setting! Click on the red frame below.

Proceeding to the next step will display the following screen. Check if the account information to be linked is correct.
The title and action are set by default.

Move to the Notion screen and create an item to generate the extracted message.
※ Please use the table view. This time, we are entering the items as follows.

Return to the Yoom screen and set up the API connection.

  • Database ID: Enter "●●●" from the Notion database URL "www.notion.so/{●●●}?v=xxxxxxxx"
※ Enter the page ID of the Notion you want to transfer from Microsoft Teams.
  • Title Property Name: Register the column name of the property
  • Page Title: Enter any text ※ You can also select from the output.
  • Content: Enter any text ※ You can also select from the output.

After entering the necessary information, click "Test" and if you can obtain the output, it is successful.

Step 6: Set the Trigger to ON and Complete the Flow Operation Preparation

This completes the flow bot! Well done!

Finally, turn the trigger ON. With this, all settings are complete, so check if a page is created in Notion when a message is posted in Microsoft Teams!
