Benefits of Integrating Zoom and Microsoft Teams and Examples of Automation

In recent years, the opportunities for video conferencing between companies have increased.
It's very convenient because there's no need to secure a large conference room, and you can easily have meetings with distant clients.
However, don't you find it inconvenient that different companies use different apps?
In this article, we will integrate Zoom and Microsoft Teams, two commonly used video conferencing apps, to further streamline meeting and schedule management!
Even if you're using different apps, integration makes it very convenient!

So, what are the benefits of integrating the two apps?
We will also introduce tasks that can be automated.

Benefit 1: Centralized Management of Meeting Schedules

By integrating the two apps, you can manage meeting schedules collectively, making schedule management more efficient.
You can schedule and join Zoom meetings directly from Microsoft Teams, allowing you to manage all meetings from a single app, eliminating the hassle of switching between apps.
For example, if your company mainly uses Microsoft Teams but your client uses Zoom, you can notify them of the Zoom meeting set up from Microsoft Teams.
Once set up, the Microsoft Teams calendar and Zoom meetings are automatically synchronized, reducing the risk of missing information and input errors due to human processes.

Benefit 2: Streamlined Collaboration

You can edit shared materials and notes in real-time within Microsoft Teams during meetings and save them along with Zoom's recorded data.
For instance, members who couldn't attend the meeting can later check the Zoom video from Microsoft Teams, and if you need to recall how something was discussed, you can easily do so from Microsoft Teams along with the materials.
When set up, Zoom meeting recordings are automatically uploaded to a specific channel in Microsoft Teams, ensuring nothing is forgotten to be shared, and all team members can access it immediately.

Benefit 3: Unified Communication

By integrating Microsoft Teams' chat function with Zoom's meeting function, you can seamlessly conduct messaging and video conferencing.
You can start a Zoom meeting directly from within a Microsoft Teams chat and immediately share meeting highlights and follow-up tasks in the chat after the meeting ends.
By consolidating all communication in one place, the flow of information becomes clear, making decision-making and progress tracking easier.
For example, if you want to check both the content of a Microsoft Teams chat and a Zoom meeting, you no longer need to switch between apps as before, saving you the hassle of confirmation tasks and enabling quick and smooth communication.

How to Create an Integration Flow for Zoom and Microsoft Teams

This time, we will use Yoom to perform the integration.
Yoom is a visually intuitive tool, so you can set up the integration without specialized knowledge!
If you don't have a Yoom account, please obtain one from the Yoom account issuance page.
You can start very easily!
For basic operations of Yoom, please refer to Getting Started with Yoom.

‍Once you have logged into your Yoom account,
1. Click on "Register My App" and select "Create New".

2. Select the app you want to register (in this case, Zoom and Microsoft Teams) and log in with the account you will use.

Once Zoom is registered, click "Create New" again to register Microsoft Teams.
Please refer to this for detailed instructions on registering Zoom.

3. Once registered, an icon will appear in My Apps.
Check to see if the icons for Zoom and Microsoft Teams are displayed.

Now, let's set up the integration for the two apps!
[Notify Microsoft Teams with the recording URL when a meeting ends in Zoom] is the flow we will create.
This flow notifies Microsoft Teams with the recording URL when a meeting ends in Zoom.
You can share recordings with the entire team smoothly and without missing anyone.

*Please note that obtaining meeting recording information is only possible if cloud recording is enabled, so be aware of your Zoom plan.

1. Click "Create New" from "My Projects" and select "Create from Scratch".

2. Enter a clear title and flow content, select "When a specific app event occurs", and choose Zoom.

7. Enter the user's email address and meeting ID.
The user's email address should be the email address of the Zoom account.
The meeting ID can use the output information obtained from Zoom, which was linked earlier, so select and enter from the output.
Click "Test", and if the test is successful, click "Save".

8. Click "+" on the saved flow, select "Integrate an App" from the operation type selection, and click Microsoft Teams.

9. Select the action "Send a message to the channel" and click "Next".

10. Enter the team ID and channel ID. If Microsoft Teams is registered in My Apps, you can select from the candidates.
The message can use the output information obtained from Zoom, which was linked earlier, so select and enter from the output.
Click "Test", and if the test is successful, click "Save".

This completes the flow 【Notify Microsoft Teams of the recording URL when the meeting ends in Zoom】.

11. Finally, switch the trigger to "ON" to activate it.‍

Advanced Integration Flow of Zoom and Microsoft Teams

So far, we have introduced the flow of [Notify Microsoft Teams with the recording URL when a Zoom meeting ends], but there are many other examples of automation using Zoom and Microsoft Teams in Yoom, so we will introduce a few.

‍For example, a flow like [Generate a Zoom meeting URL from the meeting details in Microsoft Teams].
When the meeting details are posted in a Microsoft Teams channel, a new Zoom meeting URL is created.
By posting a new chat message in Microsoft Teams, a Zoom meeting URL is automatically generated, allowing all attendees to easily access it, thus reducing the effort of sharing Microsoft Teams information with Zoom.

Here is a flow bot that transcribes and summarizes meeting minutes after a Zoom meeting ends and notifies Microsoft Teams.
It transcribes the meeting recording file, summarizes it, and sends a notification.
It seems to make it easy to share information with members who did not attend the meeting.

[Issue a Zoom meeting URL from the Yoom database and add it to Google Calendar]
It seems convenient to link with Google Calendar and add events like this flow bot.

You can also create a flow that integrates with Google Sheets, such as [Add registrants to a Zoom webinar when a row is added in Google Sheets].
If you are entering data manually, this can help prevent human errors such as transcription mistakes or omissions.

Finally, this is the flow of 【Register a meeting in Zoom when there is a reservation in TimeRex】.
It allows you to automatically create meetings, facilitating smooth progress of team projects.

Additionally, Yoom, which we used this time, has many integration apps that can streamline various tasks!
Please try creating an integration flow that suits your work!

Summary

The integration of Zoom and Microsoft Teams has enabled centralized management of meeting schedules, improved collaboration efficiency, and smoother communication!
The cumbersome tasks that were previously done manually have been eliminated, greatly enhancing work efficiency.
Automation of tasks reduces errors caused by human processes, undoubtedly boosting the productivity of the entire team!
Besides integrating Zoom and Microsoft Teams, Yoom can connect with various other apps, so please make use of it.
Let's work together to achieve even greater efficiency in our tasks!

I came across Yoom when I was searching for ways to improve work efficiency on a daily basis at a small and medium-sized enterprise in a region where human resources are limited. I was casually thinking that it would be nice if this were the case, and by introducing Yoom, we can make it so much more efficient! I'm moved. Even though I have no knowledge or experience with systems or programming, my work has changed drastically, so I'm writing that I hope I can share it with many people who feel the same way.

What is Yoom hyperautomation?
Conventional RPA can only automate simple repetitive tasks, and the setup process was very complicated.
With “hyperautomation,” which combines various technologies such as AI, API, RPA, and OCR, it is possible to automate many tasks that could not be realized until now more easily than before.
Don't Just Connect Apps—Automate Everything
Most tools simply connect one app to another, leaving the complex tasks to you. Yoom goes much further: From document creation and browser automation to OCR and generative AI, Yoom handles it all seamlessly in one platform.

Why settle for basic integrations? Streamline your entire workflow with Yoom’s powerful hyperautomation.
