Automatically add files uploaded to a Box folder to Salesforce records

■Overview
Do you manually register customer-related files uploaded to Box to the corresponding Salesforce records each time?
This task is not only time-consuming but also prone to human error, such as missed registrations and incorrect associations.
With this workflow, whenever a file is uploaded to a specific Box folder, a record is automatically created in Salesforce and the file is associated with it.
Eliminate the hassle of file management and customer information updates so you can focus on more important work.
■Who is this template for?
- Anyone looking to streamline manual file registration between Box and Salesforce
- Anyone looking to prevent human errors, such as missed file registrations and incorrect associations with customer information
- Anyone looking to reduce the burden of file management for sales representatives and customer support teams
■Benefits of using this template
- When a file is uploaded to Box, a record is automatically created in Salesforce and the file is associated with it, reducing the time previously spent on manual tasks.
- By eliminating manual data entry and file attachment tasks, this workflow helps prevent human errors such as registration mistakes and missed associations, improving data accuracy.
■Flowbot steps
- First, connect Box and Salesforce to Yoom.
- Next, select Box as the trigger and set the “When a file is uploaded to a folder” action.
- Then, set the Box “Download a file” action as an operation and specify the file detected by the trigger.
- Next, set the Salesforce “Create a record in a custom object” action as an operation.
- Then, use Salesforce’s “Upload a file to associate with a record” action to specify the downloaded file.
- Next, set the Salesforce “Get the content ID of the uploaded file” action.
- Finally, use Salesforce’s “Associate a file with a record” action to associate the created record with the uploaded file.
※“Trigger”: An action that starts a flow. “Operation”: An action that processes data within a flow after the trigger starts.
■Customization options
- When setting the Box “Download a file” action, use the dynamic value obtained by the trigger, “When a file is uploaded to a folder,” for the file content ID.
- When setting up each Salesforce action, you can optionally specify your own Salesforce My Domain URL.
■Notes
- Connect both Box and Salesforce to Yoom.
- Salesforce is available only on the Team and Success plans.
On the Free and Mini plans, operations and Data Connects in configured Flowbots will result in errors. - Paid plans, such as the Team and Success plans, include a two-week free trial.
During the free trial, you can use apps that are otherwise subject to plan restrictions. - The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
- For details on the file size limits supported by triggers and individual operations, see below.
