Use OCR to extract text from files uploaded to Box and add them to Trello

Use OCR to extract text from files uploaded to Box and add them to Trello

Launch this workflow to connect Box & Trello !

■Overview

Do you manually transfer the contents of files such as invoices and application forms uploaded to Box into Trello each time? These manual tasks are not only time-consuming but can also lead to human errors such as data entry mistakes. With this workflow, uploading a file to Box automatically triggers OCR to read its contents and create a card in Trello, freeing you from tedious data entry while improving operational accuracy and speed.

■Who Should Use This Template

  • Anyone who manually transfers the contents of documents uploaded to Box into Trello
  • Team leaders who want to prevent missed or delayed task creation based on document information
  • Anyone looking to improve operational efficiency by using OCR to digitize information from paper documents or PDFs

■Benefits of Using This Template

  • Automating the process from uploading a file to Box to creating a card in Trello saves the time previously spent on manual data entry.
  • Eliminating manual data transfers reduces the risk of human errors such as incorrect entries and omissions, helping maintain accurate information.

■Workflow

  1. First, connect Box and Trello to Yoom.
  2. Next, select Box as the trigger and set the “When a file is uploaded to a folder” action.
  3. Then, set Box’s “Download a file” action as an operation to retrieve the file detected by the trigger.
  4. Next, set the OCR feature’s “Read any image or PDF” action as an operation to extract text information from the downloaded file.
  5. Finally, set Trello’s “Create a new card” action as an operation to create a new card based on the information read by OCR.

※ “Trigger”: An action that starts the workflow. “Operation”: An action that performs processing within the workflow after the trigger starts.

■Customization Options

  • When creating a card in Trello, set the target board and list as needed.
  • You can dynamically insert text information read by OCR as variables in the card title and description.
  • You can also combine it with fixed text such as “[Needs Review]” to identify the task type at a glance.

■Notes

  • Connect Box and each service to Yoom.
  • OCR AI operations are available only on the Team and Success Plans. Please note that configured workflow operations will result in an error on the Free and Mini Plans.
  • Paid plans such as the Team and Success Plans include a two-week free trial. During the free trial, you can use apps and AI features (operations) that are subject to plan restrictions.
  • Please note that OCR may not be able to read data exceeding 6,500 characters or text that is too small.
  • The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
  • For details on the file size limits for triggers and individual operations, see here.
