When order information is submitted through Google Forms, automatically send a delivery request email via Outlook

When order information is submitted through Google Forms, automatically send a delivery request email via Outlook

Launch this workflow to connect Microsoft Outlook & Google Forms !
■Overview
Manually transferring order details submitted through Google Forms to an Outlook email to create a delivery request can be time-consuming and prone to input errors.
As the number of orders increases, this process can take up a significant amount of time.
With this workflow, you can automatically send a delivery request email from Outlook whenever a response is submitted to Google Forms, helping you streamline and resolve these challenges.

■Who is this template for?
  • EC professionals who use Google Forms and Outlook to receive orders and submit delivery requests
  • Those looking to improve operational efficiency because manual data entry and email creation take up too much time
  • Team leaders who want to reduce human error in order processing and improve accuracy

■Benefits of using this template
  • When order information is submitted through Google Forms, a delivery request email is automatically sent from Outlook, reducing the time previously spent creating emails manually.
  • Reduce the risk of human error, such as manual data entry mistakes and missed email sends, and improve operational accuracy.

■Flow
  1. First, connect Google Forms and Outlook to Yoom.
  2. Next, select Google Forms as the trigger and set the action to “When a response is submitted to the form.” Specify the ID of the form you want to use.
  3. Finally, select Outlook as the operation and set the action to “Send an email.” Use the order information retrieved from Google Forms to configure the recipient, subject, and body of the delivery request email, and have it sent automatically.
※ “Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Customization options
  • In the Google Forms trigger settings, enter the ID of the form you want to include in the automation.
  • When setting up the action to send an email through Outlook, configure the recipients (To, CC, and BCC), subject, and body as needed, using information retrieved from Google Forms.

■Notes
  • Connect both Google Forms and Outlook to Yoom.
  • You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
  • Available minimum trigger intervals vary by plan.
  • For details on how to retrieve response data when using Google Forms as a trigger, see How to retrieve response data with the Google Forms trigger.
  • Microsoft 365 (formerly Office 365) offers plans for home users and business users (Microsoft 365 Business). If you are not subscribed to a business plan, authentication may fail.
