When a document is added to Box, use OCR and AI to check for patent infringement and notify Slack

■Overview

Reviewing every new document added to Box and checking it for potential patent infringement is important, but it can also be time-consuming and labor-intensive.
When handling a large number of documents, there is also a risk of missing important details.
This workflow helps solve these challenges by using a Box file upload as the trigger, extracting text with OCR, having AI analyze the possibility of patent infringement, and automatically notifying Slack of the results.

■Flow Bot steps

1. First, connect Box and Slack to Yoom.
2. Next, select Box as the trigger and set the “When a file is uploaded to a folder” action. Specify the folder to monitor.
3. Then, set the Box “Download a file” action as an operation to retrieve the uploaded file.
4. Next, set the OCR “Extract text from images and PDFs” action as an operation to extract text from the downloaded file.
5. Then, set the AI “Generate text” action as an operation to analyze the possibility of patent infringement based on the extracted text.
6. Finally, set the Slack “Send a message to a channel” action as an operation to notify the designated channel of the AI analysis results.

※ “Trigger”: An action that starts a flow. “Operation”: An action that performs processing within a flow after the trigger starts.

■Customization options

• With the OCR “Extract text from images and PDFs” action, you can specify in detail which parts of the file to extract information from and what information to extract.
• With the AI “Generate text” action, you can customize the prompt used to check for patent infringement and adjust the analysis criteria and accuracy.
• With Slack’s “Send a message to a channel” action, you can freely select the channel to notify. You can also include fixed text in the message and dynamically insert values such as the file name retrieved in a previous operation or the AI analysis results.

■Notes

• Connect both Box and Slack to Yoom.
• You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
• Note that the shortest available trigger interval varies by plan.
• OCR and AI operations that transcribe audio are available only on the Team and Success plans. On the Free and Mini plans, configured Flow Bot operations that use these features will result in an error.
• Paid plans, including the Team and Success plans, offer a two-week free trial. During the free trial, you can use apps and AI features (operations) that are otherwise subject to plan restrictions.
