■Overview
Do you spend too much time manually reviewing BPM (Business Process Management) assessment reports and analysis documents, then transcribing the results? This workflow uses OCR to read BPM process result files uploaded to Dropbox, while AI analyzes their performance. By automating the BPM assessment process with AI and consolidating the analysis results in Google Sheets, you can streamline the entire process and make faster decisions.
■Who Is This Template For?
- Anyone who manually analyzes BPM process performance and wants to eliminate inefficiencies
- Business process improvement professionals interested in automating BPM assessments and data management with AI
- Anyone who wants to streamline tasks across multiple tools, such as Dropbox and Google Sheets
■Benefits of Using This Template
- Complete AI-powered analysis and data entry simply by uploading BPM-related files, reducing the time spent on manual analysis and input
- Prevent manual data-reading errors and missed entries, improve the accuracy of BPM analysis, and drive business improvements based on reliable data
■Flowbot Steps
- First, connect Dropbox and Google Sheets to Yoom
- Next, select Dropbox as the trigger and set the action to “When a file is created or updated in a specific folder”
- In the operation, set the Dropbox “Download a file” action and specify the file detected by the trigger
- Then, configure the OCR feature to “Read any image or PDF” and extract text information from the downloaded file
- Next, configure the AI feature to “Generate text” and instruct it to analyze performance based on the extracted text
- Finally, set the Google Sheets “Add a record” action and add the AI-generated analysis results to the specified sheet
※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customizable Points in This Workflow
- In the Dropbox trigger settings, specify the folder path and file name for storing BPM process-related files
- When using the OCR feature, specify the data fields to extract for the performance assessment
- In the AI action, freely edit the prompt to match the analysis you want to perform
- In the Google Sheets action, specify the spreadsheet ID and sheet tab name where you want to output the results
■Notes
- Connect both Google Sheets and Dropbox to Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- The AI operations for OCR and audio transcription are available only on the Team and Success plans. On the Free and Mini plans, configured flowbot operations using these features will result in an error.
- Paid plans, such as the Team and Success plans, include a two-week free trial. During the free trial, you can use apps and AI features (operations) that are otherwise subject to plan restrictions.
