■Overview
When the data managed in your customer management platform (CMP) is stored as PDFs or images, do you spend too much time reviewing and transcribing it? Deriving customer insights from this data can also require specialized skills and time. This workflow uses OCR to read customer data from your CMP uploaded to Dropbox, then analyzes it with AI. The results are automatically added to Google Sheets, streamlining AI-powered CMP data analysis and management.
■Who This Template Is For
- Marketing teams who want to analyze CMP customer data with AI and gain insights
- Anyone who manually transcribes and analyzes customer data saved as images or PDFs in Dropbox
- DX teams interested in leveraging data and automating workflows by connecting AI with various SaaS tools
■Benefits of This Template
- Automate everything from data transcription to AI-powered analysis and aggregation when a file is uploaded to Dropbox, reducing the time required for the entire process.
- Prevent manual transcription errors and inconsistencies in analysis, helping reduce reliance on individual employees and maintain consistent work quality.
■Flowbot Steps
- First, connect Dropbox and Google Sheets to Yoom.
- Next, select Dropbox as the trigger and set the action to “When a file is created or updated in a specific folder.”
- Then, set the Dropbox “Download a file” action as an operation.
- Next, select the OCR feature as an operation and use the “Read any image or PDF” action to extract text from the downloaded file.
- Then, select the AI feature as an operation and use the “Generate text” action to generate customer insights based on the extracted text.
- Finally, set the Google Sheets “Add a record” action as an operation and add the AI-generated text to the desired cells.
※“Trigger”: An action that starts a flow. “Operation”: An action that processes data within a flow after the trigger starts.
■Customization Options
- In the Dropbox trigger settings, specify the folder path and file name you want to monitor.
- In the OCR action settings, specify the fields you want to extract from the file.
- In the AI action settings, customize the prompt based on the insights you want to extract.
- In the Google Sheets action settings, specify the spreadsheet ID and sheet name where you want to save the output.
■Notes
- Connect both Google Sheets and Dropbox to Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- AI operations for OCR or audio transcription are available only on the Team and Success plans. On the Free and Mini plans, configured Flowbot operations will result in an error.
- Paid plans, including the Team and Success plans, offer a two-week free trial. During the free trial, you can use apps and AI features (operations) that are otherwise subject to plan restrictions.
