When a file is uploaded to Box, rename it and save it to OneDrive

■Overview
When using Box and OneDrive together, do you find it time-consuming to move or copy files manually?
In many cases, inconsistent file names also make it difficult to find the right files later. With this workflow, when a file is uploaded to Box, AI automatically renames it and saves it to a designated OneDrive folder. Eliminate inefficient manual file management and enable seamless data transfer between OneDrive and Box.
■Who Should Use This Template
- Those who use Box and OneDrive together and find manual file transfers time-consuming
- Those who want to standardize file naming conventions in OneDrive and Box to streamline file management
- Those who want to automate backups and information sharing across multiple cloud storage services
■Benefits of Using This Template
- Automate the entire process from uploading a file to Box to saving it in OneDrive, reducing the time spent moving and renaming files manually.
- Prevent human errors such as incorrect file names and missed uploads to OneDrive, improving the accuracy of file management.
■Flow Bot Workflow
- First, connect Box and OneDrive to Yoom.
- Next, select Box as the trigger, set the “When a file is uploaded to a folder” action, and specify the target folder.
- Then, set Box’s “Download a file” action as an operation to retrieve the file uploaded by the trigger.
- Next, set the AI feature’s “Generate text” action as an operation and enter instructions (a prompt) to generate a new file name.
- Finally, set OneDrive’s “Upload a file” action as an operation, then specify the downloaded file and the file name generated by AI to save the file.
※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization Options
- In the Box trigger settings, choose the folder you want to monitor.
- With the AI feature, you can freely customize the prompt to automatically generate file names using any naming convention, such as “【Upload date】_Original file name.”
- In the OneDrive upload settings, you can specify a fixed destination folder or set information retrieved in a previous operation as a variable.
■Notes
- Connect both Box and OneDrive to Yoom.
- Microsoft 365 (formerly Office 365) offers plans for home users and businesses (Microsoft 365 Business). Authentication may fail if you are not subscribed to a business plan.
- You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
- See below for details on the file sizes supported by triggers and individual operations.
