When a file is added to Box, run OCR and create a GitHub issue

When a file is added to Box, run OCR and create a GitHub issue

Launch this workflow to connect Box & GitHub !

■Overview

Reviewing specifications and reports uploaded to Box and manually creating GitHub Issues is not only time-consuming but also prone to input errors. This workflow automates the integration between Box and GitHub to solve these challenges. When a specific file is uploaded to Box, the OCR feature reads its contents, and a GitHub Issue is automatically created based on the extracted text. This helps improve efficiency while maintaining operational accuracy.

■Who Should Use This Template

  • Development team members who manually create GitHub Issues based on files managed in Box
  • Project managers who want to automate routine information sharing between GitHub and Box and reduce the time spent on manual tasks
  • Anyone looking to streamline the entire process, from file-based reporting to task creation

■Benefits of Using This Template

  • File uploads to Box automatically trigger OCR processing and GitHub Issue creation, reducing the time previously spent on manual work.
  • Issues are created based on text extracted through OCR, helping prevent human errors such as transcription mistakes and missed task creation.

■Flow Bot Workflow

  1. First, connect Box and GitHub with Yoom.
  2. Next, select Box as the trigger and configure the “When a file is uploaded to a folder” action.
  3. Then, configure Box’s “Download a file” action as an operation and specify the file detected by the trigger.
  4. Next, configure the OCR feature’s “Extract text” action as an operation to extract text from the downloaded file.
  5. Then, use the AI feature’s “Extract data from text” action as an operation to format the information required for the Issue.
  6. Finally, configure GitHub’s “Create an Issue” action as an operation, insert the information extracted by AI, and create the Issue.

※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Customization Options

  • For the OCR operation, you can freely configure or modify the fields to extract based on the format of the file being processed.
  • For the GitHub action that creates an Issue, you can enter fixed text for fields such as the title, body, and assignee, or dynamically set information obtained from previous operations as variables.

■Notes

  • Connect both Box and GitHub with Yoom.
  • You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
  • Please note that the shortest trigger interval varies by plan.
  • The OCR and audio transcription AI operations are available only on the Team and Success plans. On the Free and Mini plans, operations configured in the Flow Bot will result in an error.
  • Paid plans such as the Team and Success plans include a two-week free trial. During the free trial, you can use apps and AI features (operations) that are otherwise subject to plan restrictions.
  • Please note that OCR may not be able to read data containing more than 6,500 characters or text that is too small.
  • Downloadable files can be up to 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
  • For details on the file size limits supported by triggers and operations, see below.
