When a specific file is uploaded to Box, extract text with OCR and create a subscriber in Drip

When a specific file is uploaded to Box, extract text with OCR and create a subscriber in Drip

Launch this workflow to connect Box & Adobe Experience Cloud !

■Overview

Do you scan business cards and materials collected at events and save them in Box, only to spend time manually entering the information into Drip, your marketing automation tool? While entering each record is a simple task, it can be time-consuming and prone to errors. With this workflow, you can connect Box and Drip so that whenever a file is uploaded to a specific folder, OCR automatically extracts the information and registers it as a Subscriber in Drip.

■Who Is This Template For?

  • Marketing and sales professionals who manually transfer information from business cards and other materials saved in Box to Drip
  • Anyone who wants to connect Box and Drip, automate lead registration, and eliminate data entry errors
  • Anyone who wants to quickly register offline leads in Drip and shorten the time to outreach

■Benefits of This Template

  • Automatically register Subscribers in Drip by simply uploading a file to Box, reducing the time previously spent on manual data entry
  • Eliminate manual data transfer to prevent human errors such as incorrect entries and missed registrations, improving the accuracy of customer data

■Workflow

  1. First, connect Drip and Box with Yoom
  2. Next, select Box as the trigger and set the action to “When a file is uploaded to a folder”
  3. Then, configure a branching condition in the operation so that subsequent steps run only when a specific file is uploaded
  4. Next, set the Box “Download a file” action in the operation to download the file detected by the trigger
  5. Then, set the OCR “Read any image or PDF” action to extract the required information from the downloaded file
  6. Finally, set the Drip “Create Subscriber” action in the operation to automatically create a Subscriber based on the information extracted by OCR

■Customization Options

  • In the Box trigger settings, specify the folder ID to monitor for uploads
  • With branching, you can freely customize the conditions for running subsequent steps based on information retrieved in the previous step, such as the file name or format
  • With OCR, you can configure the fields to extract, such as the company name, contact name, and email address, according to the format of the business cards or documents being scanned
  • When registering information in Drip, you can freely map the information read by OCR to the appropriate fields

※“Trigger”: An action that starts the workflow. “Operation”: An action that processes data within the workflow after the trigger starts.

■ Notes

  • Connect both Box and Drip with Yoom.
  • The AI operations for OCR and audio transcription are available only on the Team and Success Plans. On the Free and Mini Plans, operations configured in the workflow will result in an error.
  • Paid plans, such as the Team and Success Plans, include a two-week free trial. During the free trial, you can use restricted apps and AI features (operations).
  • Branching is available as a feature (operation) on the Mini Plan and above. On the Free Plan, operations configured in the workflow will result in an error.
  • Paid plans, such as the Mini Plan, include a two-week free trial. During the free trial, you can use restricted apps and features (operations).
  • OCR may not be able to read data containing more than 6,500 characters or text that is too small. Please note this.
