Add a record to Notion when an event matching specific conditions is scheduled in Calendly

Add a record to Notion when an event matching specific conditions is scheduled in Calendly

Launch this workflow to connect Calendly & Notion !

■Overview

After scheduling a meeting in Calendly, do you find it time-consuming to manually transfer the details to a Notion database?
While this task is simple, it plays an important role in managing sales meetings and interviews, so missing or incorrect entries should be avoided.

With this workflow, a record is automatically added to Notion whenever an appointment that meets specific conditions is created in Calendly.
Automating the integration between Notion and Calendly eliminates manual data entry and ensures accurate information management.

■Who is this template for?

  • Anyone who uses Notion and Calendly to manage sales meetings or interview schedules
  • Anyone who manually transfers Calendly appointment details to a Notion database
  • Anyone who wants to automate the Notion–Calendly integration and streamline post-scheduling tasks

■Benefits of using this template

  • When an appointment is created in Calendly, a record is automatically added to Notion, reducing the time previously spent on manual data entry

■Flowbot steps

  1. First, connect Calendly and Notion to Yoom
  2. Next, select Calendly as the trigger and set the action to “When an appointment is created (webhook-triggered)”
  3. Then, set up a branch in the operation and configure the workflow to continue only when specific conditions are met
  4. Finally, set up Notion’s “Add a record” action in the operation to add a record to the specified database

※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Workflow customization options

  • In the branch, set any conditions you want to use to start the flow, such as a specific event type or respondent’s email address
  • In the action for adding a record to Notion, specify the target database and which information retrieved from Calendly should be added to which properties

■Notes‍

  • Connect both Calendly and Notion to Yoom.
  • Branching is an operation available on the Mini plan and above. On the Free plan, the configured Flowbot operation will result in an error.
