When a file is uploaded to Box, extract text with OCR and bulk add clients in Float

■Overview
Do you manually transfer information from customer lists, application forms, and other files uploaded to Box into Float? While the task itself is simple, it becomes time-consuming as the number of files increases and can easily lead to data entry errors. With this workflow, simply upload a file to a specific Box folder. OCR automatically extracts the text and adds the client information to Float, helping streamline manual registration tasks between Float and Box.
■Who should use this template
- Anyone who manually registers client information in Float based on files stored in Box
- Anyone who wants to streamline the digitization of customer lists received as paper documents or PDFs and their registration in Float
- Anyone who wants to connect Float and Box, automate client information registration, and focus on core tasks
■Benefits of using this template
- Client information is automatically registered in Float when you upload a file to Box, reducing data entry work and saving time.
- By eliminating manual data transfer, you can prevent human errors such as incorrect entries and missed registrations, helping maintain data accuracy.
■Workflow steps
- First, connect Box and Float to Yoom.
- Next, select Box as the trigger and set the action to “When a file is uploaded to a folder.”
- Next, configure Box’s “Download a file” action as an operation to download the file detected by the trigger.
- Next, configure the OCR action “Read any image or PDF” to extract text information from the downloaded file.
- Next, use the “Repeat the same process” operation to process the extracted client information one record at a time.
- Finally, configure Float’s “Add Client” action to automatically add clients based on the extracted information.
※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization options
- In the Box trigger settings, specify the content ID of the folder where uploaded files should trigger the workflow.
■Important notes
- Connect both Box and Float to Yoom.
- Actions between “Repeat the same process” operations are available only on the Team and Success Plans. On the Free and Mini Plans, operations and data connections configured in the flow bot will result in errors.
- Paid plans, such as the Team and Success Plans, include a two-week free trial. During the free trial, you can use restricted apps and features (operations).
- AI operations for OCR and audio transcription are available only on the Team and Success Plans. On the Free and Mini Plans, configured flow bot operations will result in errors.
- Paid plans, such as the Team and Success Plans, include a two-week free trial. During the free trial, you can use restricted apps and AI features (operations).
- Please note that OCR may not be able to read data containing 6,500 or more characters or text that is too small.
- The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
- For details on the file size limits for triggers and each operation, see below.
