■Overview
As the number of product feedback submissions and survey responses grows, reviewing, categorizing, and summarizing free-text responses becomes increasingly time-consuming. Manual aggregation is not only inefficient but also prone to inconsistencies in categorization criteria. With this workflow, whenever a survey response is submitted through Google Forms, an AI worker automatically tags and summarizes the free-text response and immediately adds it to Google Sheets. By reducing the time spent on manual work and organizing analyzed data in real time, you can make faster decisions and share information smoothly across your team.
■Who should use this template
- Teams that manually categorize and aggregate large volumes of survey responses collected through Google Forms and want to streamline the process
- Teams that want to use an AI worker to automatically tag customer feedback stored in Google Sheets and improve the accuracy of their analysis
- Customer success teams that want to summarize free-text survey responses so team members can quickly understand the key insights
■Benefits of using this template
- Because the AI worker processes each response automatically as it arrives in Google Forms, you can reduce the time spent reviewing and categorizing free-text responses.
- By reflecting survey responses in Google Sheets in real time and applying tags based on consistent criteria, you can improve the reliability of your analysis data.
■Flow bot workflow
- First, connect Google Forms and Google Sheets to Yoom.
- Next, set the Google Forms trigger to “When a new response is submitted.”
- Then, create a manual (instruction) for the AI worker to tag and summarize the free-text response in the survey, and set Google Forms and Google Sheets as the tools it can use.
- Finally, set the Google Sheets operation to “Add a row” and write the tags and summary generated by the AI worker to the spreadsheet.
※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization options
■Customization options
- When configuring the Google Forms trigger, select the survey form you want to connect accurately.
- By adjusting the AI worker’s instructions (prompt), you can customize the workflow to determine whether responses are positive or negative and apply more detailed tags based on specific keywords.
- When configuring the Google Sheets action, map the fields according to the format of your existing management sheet, including which columns should contain the summary and tags.
■Notes
- Connect both Google Forms and Google Sheets to Yoom. The tools (apps) used within the AI worker must also be connected through My Apps.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Please note that the shortest available trigger interval varies by plan.
- For information on how to retrieve response details when using Google Forms as a trigger, see “How to retrieve response details with the Google Forms trigger.”
- For basic AI worker setup instructions, see “[AI Worker] Basic setup instructions.”
- The number of concurrent AI worker executions, the number of AI workers you can create, and the AI models available depend on your plan.
- The apps and operations available within an AI worker are subject to the same usage limits as flow bots.
- Please note that AI workers consume tasks during test runs just as they do during production runs. For details, see “[AI Worker] How task execution counts are calculated.”
- The tools (apps) used within an AI worker must also be connected through My Apps.
- AI workers are more likely to process tasks appropriately when their manuals are configured in detail. For details, see “[AI Worker] How to create a manual.”
