Create folders in bulk from an Excel file list when the file is saved to Microsoft SharePoint

Create folders in bulk from an Excel file list when the file is saved to Microsoft SharePoint

Launch this workflow to connect Microsoft SharePoint & Microsoft Excel !
■Overview
When creating folders in Microsoft SharePoint for each project or case, do you manually process them one by one while reviewing a list in an Excel file? While simple, this task can become time-consuming and prone to input errors when handling a large volume of folders. With this workflow, simply save an Excel file containing the list to automatically create folders in SharePoint, eliminating manual effort and errors while streamlining your operations.

■Who this template is recommended for
  • Those who manually create standard folders in Microsoft SharePoint
  • Those who want to automate bulk folder creation based on a list in an Excel file
  • Those who want to streamline folder management in SharePoint and eliminate human errors

■Benefits of using this template
  • Simply saving an Excel file automatically creates multiple folders based on the list, reducing the time spent on repetitive manual tasks.
  • Prevent human errors such as incorrect folder names or missed folder creation, while also standardizing your folder structure.

■Workflow overview
  1. First, connect Microsoft SharePoint and Microsoft Excel with Yoom.
  2. Select Microsoft SharePoint as the trigger, configure “When a file is created or updated in a specified folder within a site,” and monitor a specific folder.
  3. Next, configure the branching feature as an operation so that subsequent processes run only when specified conditions are met, such as when a particular file is created.
  4. Then, configure the Microsoft Excel “Get multiple records (up to 10)” action to retrieve a list of folder names from the file detected by the trigger.
  5. Next, configure the repeat processing feature to process each row of the retrieved list.
  6. Finally, configure the Microsoft SharePoint “Create folder” action to create folders individually based on the list information.
※“Trigger”: An action that starts a flow. “Operation”: An action that processes tasks within a flow after the trigger is activated.

■Customization points for this workflow
  • In the Microsoft SharePoint trigger settings, specify the site ID and folder ID to monitor as needed.
  • With the branching feature, you can set conditions for proceeding to subsequent processes, such as the file name.
  • When retrieving records from Microsoft Excel, you can specify details such as the file location, target sheet, and whether to retrieve only records that meet specific conditions.
  • When creating folders in Microsoft SharePoint, you can specify the destination site ID and parent folder item ID, and set the folder name using values retrieved from the Excel file.

■Notes
  • Connect both Microsoft SharePoint and Microsoft Excel with Yoom.
  • Microsoft 365 (formerly Office 365) offers plans for home users and general business users (Microsoft 365 Business). Authentication may fail if you are not subscribed to a business plan.
  • Microsoft SharePoint is available on the Mini plan and above. If you are on the Free or Personal plan, the operations and data connects configured in your Flowbot will result in an error.
  • Paid plans, including the Personal, Mini, Team, and Success plans, offer a two-week free trial. During the free trial, you can use restricted apps. For details, see the Pricing Plans page.
  • You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
  • Please note that the shortest available trigger interval varies depending on your plan.
  • For information on configuring operations that manipulate Microsoft Excel databases, see “[Excel] Configuring Operations to Manipulate Databases.”
  • Branching is a feature (operation) available on the Personal plan and above. If you are on the Free plan, the operations configured in your Flowbot will result in an error.
  • Operations between “Repeat the same process” operations are available on the Personal plan and above. If you are on the Free plan, the operations and data connects configured in your Flowbot will result in an error.
  • Paid plans, including the Personal plan, offer a two-week free trial. During the free trial, you can use restricted apps and features (operations). For details, see the Pricing Plans page.
