■Overview
Do you find it inefficient to manually enter business card information into Notion after uploading business cards to Dropbox?
With this workflow, when a business card file is uploaded to Dropbox, AI automatically extracts the text information.
The information is then automatically added to a Notion database, reducing manual effort and human error while improving operational efficiency.
■Who Is This Template For?
- Those who use Dropbox and Notion to manage business card information and want to streamline manual data entry
- Those who want to reduce human error when entering business card information and improve data accuracy
- Those who want to quickly and accurately share and use business card information for sales or customer management
■Benefits of Using This Template
- Automate the process from uploading business cards to Dropbox to registering the information in Notion, reducing the time spent on manual tasks.
- Prevent human error, such as data entry mistakes and missed transfers, with AI-powered text recognition and automatic data entry, improving data reliability.
■Flowbot Steps
- First, connect Dropbox and Notion in Yoom's "My Apps."
- Set the Dropbox trigger to "When a file is created or updated in a specific folder" and specify the target folder.
- Next, select Dropbox's "Download a file" action to download the business card file detected by the trigger.
- Then, set up the "Extract text from images and PDFs" action to extract text information from the downloaded business card file.
- Finally, configure Notion's "Add a record" action to add the extracted business card information to the specified database.
※"Trigger": An action that starts a flow. "Operation": An action that processes data within a flow after the trigger starts.
■Customization Options
- For the Dropbox trigger, specify the folder where business card files are uploaded.
- In the "Extract text from images and PDFs" operation, you can choose which fields to extract, such as company name, name, phone number, and email address.
- With Notion's "Add a record" action, you can precisely map the extracted information to the appropriate properties in your Notion database.
■Important Notes
- Connect both Dropbox and Notion to Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- AI operations for OCR or audio transcription are available only on the Team and Success plans. On the Free and Mini plans, configured Flowbot operations using these features will result in an error.
- Paid plans, such as the Team and Success plans, include a two-week free trial. During the free trial, you can use apps and AI features (operations) that are otherwise subject to plan restrictions.
