■Flowbot steps
- First, connect Notion and Gmail to Yoom.
- Next, select Notion as the trigger, set the action to “When a page is created or updated,” and specify the Notion database you want to monitor.
- Set up the “Branch” feature in an operation to split subsequent processes based on specific conditions.
- Then, set up Notion’s “Retrieve a record (search by ID)” action in an operation to retrieve detailed information based on the ID of the updated page.
- Set up Yoom’s “Generate text” action under “AI features” in an operation to generate building management-related text, such as inspection instructions or status reports, based on the Notion information retrieved.
- Finally, set up Gmail’s “Send an email” action in an operation and notify the specified recipients by email with the AI-generated text included in the message body.

- For the Branch feature, define the conditions for branching, such as the type of Notion page or the content of the update.
- For the action that retrieves a record in Notion, specify the correct database ID and customize the retrieval conditions as needed, such as limiting the target to pages with specific properties.
- For the action that generates text with AI, customize the specific instructions (prompt) to match the building management information you want to generate.
- For the Gmail email action, customize the recipient email addresses, subject line, and message body to match your actual operations.
■Notes
- Connect both Notion and Gmail to Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- Branching is an operation available on the Personal plan and higher. On the Free plan, the configured Flowbot operation will result in an error.
