■Overview
After collecting survey responses or application details through Google Forms, creating a personalized e-learning plan based on those responses and manually adding it to Notion can be time-consuming and tedious. This workflow solves these challenges and reduces the workload for educators and training administrators by using Google Forms responses as a trigger for AI to automatically generate a personalized e-learning plan and seamlessly add it to a Notion database.
■Who should use this template
- Those who want to streamline e-learning plan creation using Google Forms and Notion
- Those who want to automate the creation of learning plans tailored to individual needs with AI
- Those who want to reduce repetitive manual data entry and transcription errors
■Benefits of using this template
- Automate everything from AI-powered plan creation after a Google Forms response is submitted to adding the plan to Notion, reducing the time spent on manual work.
- AI creates the plan and automatically adds it to Notion, helping prevent human errors such as manual entry mistakes and inconsistencies in plan content.
■Flowbot steps
- First, connect Google Forms and Notion to Yoom.
- Select Google Forms as the trigger, set the action to “When a response is submitted to a form,” and specify the form you want to use.
- Next, select the AI feature under Operations and configure the “Generate text” action to create an e-learning plan based on the Google Forms responses.
- Finally, select Notion under Operations and configure the “Add a record” action to add the AI-generated plan to any Notion database.
※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization options
- When configuring the Google Forms trigger, specify the form that contains the source data for creating the e-learning plan.
- For the AI feature’s “Generate text” operation, freely customize the prompt that defines the content of the e-learning plan to be generated. You can also set fixed text or responses collected through Google Forms as variables.
- For Notion’s “Add a record” operation, flexibly customize the target database and how to assign AI-generated information or form responses to each database property (field), or set fixed values.
■Notes
- Connect both Google Forms and Notion to Yoom.
- You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Please note that the shortest available trigger interval varies by plan.
- For instructions on retrieving response details when using Google Forms as a trigger, see “How to retrieve response details with the Google Forms trigger.”
