■Overview
Do you manually inspect building exterior information managed in Notion and notify the relevant team members afterward? Manual checks are not only time-consuming but also carry the risk of missed follow-ups. With this workflow, whenever a Notion page is updated, AI automatically inspects the content and sends the results to stakeholders via Gmail. Automate the entire process to improve both efficiency and reliability.
■Who This Template Is For
- Those who manage building exterior information and similar data in Notion and are considering automating inspections and notifications
- Those who want to use AI to streamline visual inspections and reduce human error
- Teams that use Gmail to report to or contact stakeholders and want to prevent missed or delayed notifications
■Benefits of Using This Template
- From AI-powered inspections triggered by information added to Notion to notifications sent via Gmail, the entire process runs automatically, reducing the time spent on manual tasks.
- Prevent human errors such as missed checks, delayed notifications, and incorrect recipients to improve operational accuracy.
■How the Flowbot Works
- First, connect Notion and Gmail to Yoom.
- Next, select Notion as the trigger and set the action to “When a page is created or updated.”
- Then, use the branching feature to configure the flow to proceed only when specific conditions are met.
- Next, set the Notion “Retrieve a record (Search by ID)” action in the operation and retrieve detailed information about the updated page.
- Then, use the AI feature to set the “Generate text” action and generate inspection details and notification content based on the retrieved information.
- Finally, set the Gmail “Send an email” action in the operation and email the AI-generated content to the relevant stakeholders.
※ “Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.
■Customization Options
■Customization Options
- In the Notion trigger settings, select the database that you want to use to start the Flowbot.
- With the branching feature, you can set conditions tailored to your workflow, such as “Send a notification only when a specific status is reached.”
- Customize the subject, body, and recipients of emails sent via Gmail, including information retrieved from Notion or generated by the AI feature.
■Notes
- Connect both Notion and Gmail to Yoom.
- You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- Branching is an operation available on the Personal plan and above. On the Free plan, configured Flowbot operations that use branching will result in an error.
- Paid plans, such as the Personal plan, include a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise subject to plan restrictions. For details, see the Pricing Plans page.
