Register customers in Square when files are uploaded to Box

Register customers in Square when files are uploaded to Box

Launch this workflow to connect Box & Square !

‍■Overview

Manually registering customer information in Square each time based on files such as application forms uploaded to Box is not only time-consuming but also prone to input errors. This can become a significant burden, especially when handling a large volume of customer information.
By using this workflow, you can automate the integration between Box and Square. Once a file is uploaded to Box, the customer information is automatically registered in Square, freeing you from tedious manual data entry.

■Recommended for

  • Anyone who manually registers customer information saved in Box in Square
  • Anyone who wants to connect Square and Box to automate the customer registration process
  • Anyone who wants to eliminate manual entry errors and improve the accuracy of customer data management

■Benefits of using this template

  • Because customer registration in Square is completed when a file is uploaded to Box, you can reduce the time spent on manual data entry
  • Automated processing helps prevent human errors such as incorrect registration details and missed data transfers caused by manual entry

■Flowbot workflow

  1. First, connect Box and Square to Yoom
  2. Select Box as the trigger, set the “When a file is uploaded to a folder” action, and specify the target folder
  3. Next, configure Box’s “Download a file” action in the operation to retrieve the uploaded file
  4. Then, configure the OCR feature in the operation to extract the required text information, such as names and contact details, from the downloaded file
  5. Finally, configure Square’s “Register customer information” action in the operation, map the information extracted by OCR, and register the customer

※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger runs

■Customization options

  • For the OCR feature, set the fields you want to extract, such as names, company names, and addresses, according to the type of file being read, such as an application form or business card
  • When registering customers in Square, you can map the information extracted by OCR to each field as dynamic variables, as well as enter fixed text in fields such as the notes section

■Notes

  • Connect both Box and Square to Yoom.
  • AI operations for OCR and audio transcription are available only on the Team and Success Plans. Please note that operations configured in Flowbots will result in an error on the Free and Mini Plans.
  • Paid plans, such as the Team and Success Plans, include a two-week free trial. During the free trial, you can use restricted apps and AI features (operations).
